 Parents Handbook - Our Organization

As with any other club, a tremendous amount of work goes on behind the scenes to make our program a success. It's more work than any one person can reasonably be expected to commit to. We try to divide the work so it doesn't overwhelm any one individual. Here's a brief list of who does what in our organization, so you may contact the right individual with your request:

  • President - The president has the overall responsibility of running the club, operating the club according to the bylaws. He/she will appoint members to act as committee chairs to achieve these goals, coordinate the work performed by the board, and work closely with the coaching staff to ensure cohesion in our club's philosophy. (This is not the person to talk to concerning fundraising, your account balance or initial concerns with the coaching staff) The committees the President is responsible to mentor are: Membership, Election, Program Ad and Clothing Sales.
  • Vice President - The Vice President assists the President in running the club, with primary responsibility for financial and disciplinary oversight. Part of the Vice President's role is to audit the club's books annually to ensure our funds are spent in accordance with the club's stated objectives. The committees the Vice President is responsible to mentor are: Fundraising, Disciplinary Action and Banquet.
  • Secretary - The Secretary's primary role is communication - notifying members of meetings and keeping accurate minutes of those meetings. Our primary method of communication outside our monthly meetings is through e-mail, and to a lesser extent through our web site. Any questions concerning the club's activities are best directed to the Secretary.
  • Treasurer - The Treasurer has custody of the Association's funds, all receipts and disbursements of those funds, and is responsible formulating our operating budget. Given the large number of personal accounts of our members, due to the club's philosophy of crediting these accounts with individual fundraisers, this involves much more than receipts and disbursements in the club's name.
  • League Representative - The League Representative has the authority to represent the Palmyra Ice Hockey Association in all CPIHL business, and to protect our interests in CPIHL matters. He/She must be intimately familiar with all USA Hockey and CPIHL rules, and advises the coaches and the Board on how best to implement them. The League Representative also acts as the registrar for USA Hockey and the AAHA, and works with the coaches to properly develop all team rosters.
  • Team Managers - The Team Managers represent the players and parents of each team, and act as the interface between the club and the coaches of each team. They also coordinate the scheduling of all off-ice activities, including running the gate and providing off-ice officiating (the scorekeeper and clock operator) at our home games.
  • Members - Unlike most youth sports organizations, we are required by the League to provide the off-ice labor to enable the games to occur. Providing a "red jacket" for fan security and monitoring the penalty box are required at all games, and at home games our responsibilities include running the gate and all off-ice officiating. So that we all can be spectators and watch our children play, our By-laws require every parent to participate in these duties at least twice during the season as a condition of play. Please cooperate with our Team Managers as they schedule you for your "turn in the bucket". It just makes life easier for all of us.
  • Coaches - Our coaches are "hired" by the Board, based on demanding criteria that includes background checks and the certification level required to hold their positions. They're an extremely dedicated and talented group of individuals, with a proven track record in dealing with our players. (We don't pay our coaches for their services, but if we paid them what they're worth, none of us could afford to put our children on this team) They're also a very approachable group, and will always discuss your concerns at the appropriate time. Please offer them your support.
