What is PDF?

PDF (Portable Document Format) is a file format created by Adobe Systems in 1993.
PDF viewers, which just open a PDF document so that it can be read, are available for free download on the net.
However to produce and edit a PDF document requires usually expensive proprietary software such as Adobe Acrobat.
Thus to produce and edit the software, I use either MS Word (the 2000 version) or OpenOffice.org Writer (which is free to download and use). The document is then converted to a PDF document and uploaded to the Club website.

Why Use PDF?
In the past, the Newsletter was uploaded as a Word document, but there were some concerns such as:
a) Incompatibility between one version of Word and the next.
b) Members and visitors may not have MS Word on their computer. It is proprietary non-free software and needs to be bought.

On the other hand, the Newsletter in PDF format is compatible in all versions.
PDF viewers can be downloaded off the internet for free such as:

Adobe Reader Adobe Reader is 20MB in size and only suitable if you have broadband.
Foxit Reader 2.2 for Windows Foxit Reader is 2.1MB in size and suitable for a dial up connection.

Converting a Word document to PDF using PDFCreator.
PDFCreator is a free tool which can create PDF files from any program that is able to print.
If you do not have PDFCreator already installed on your computer, then please download and install PDFCreator before following the rest of the instructions.
Open the Newsletter in Word.
Click on File | Print.
In the Print dialogue box click on the down arrow to the right of Printer Name and choose PDFCreator.
Click on the Properties button.
In the Layout tab choose
Orientation - Portrait
Page Order - Front to Back
Pages Per Sheet - 1
Click on OK
Click on the Paper/Quality tab
Choose Color - Color
Click on Advanced... and choose
Paper size
- A4
Graphic Print Quality - 600dpi
Scaling - 100%
Click OK on the PDFCreator Advanced Options dialogue box.
Click OK on the PDFCreator Document Properties dialogue box
Click OK on the Print dialogue box
On the PDFCreator dialogue box that pops up click Save
Choose the folder to save the PDF document
Rename the Newsletter in the format NewsYYYYMM
(YYYY is the year eg 2007 and MM is the month eg March is 03. Thus the July 2007 Newsletter is named News200707.)
Click on Save.

Converting With OpenOffice.org Writer
Open the Newsletter with OpenOffice.org Writer
Click on File | Export as PDF...
On the General tab set the following options:
Range as All
JPEG compression Quality at 55%
Tick Reduce image resolution and set to 150 DPI
Click on Export
Choose the folder to save the PDF document
Rename the Newsletter in the format NewsYYYYMM
(YYYY is the year eg 2007 and MM is the month eg March is 03. Thus the July 2007 Newsletter is named News200707.)
Click on Save.
