Meeting Guidelines
(Also refer to Meeting Roles and Responsibilities.)
Members’ Responsibilities:
Members should arrive at meetings on
time, attend meetings regularly and participate actively.
Members should prepare speeches to the best of their
abilities.
Members should prepare for and fulfill meeting assignments.
Members should provide fellow members with helpful,
constructive evaluations.
Members should bring guests to the Club meetings to demonstrate the
benefits Toastmaster membership offers.
Members should pay their membership dues to the club Treasurer promptly.
Delivery of Speeches:
Members will prepare and present only speeches from
Toastmasters manuals at Club meetings.
Members will complete the ten speeches required for
the first Competent Toastmaster (CTM) award certification in the prescribed
sequence.
Members will prepare speeches to achieve the objective
described for that particular manual speech assignment.
The evaluator will determine if the speech has achieved the objective.
Members should to pursue other educational tracks
(Advanced Speaker, Competent Leader and/or Advanced Leader) or second CTM
upon completion of the first CTM.

Evaluation of speeches:
Evaluators will provide honest yet supportive
feedback.
Evaluators will determine if a speech has not met its
objective. In such a case, the evaluator will not fail the speech but may
assign it to a different speech number with an objective that better fits
the delivered speech. The VP of Education, the Evaluator and, possibly,
the Club President will agree on the details. The speaker may need to
rewrite the speech if it does not meet any of the outlined objectives.
Before a meeting:
The VP of Education publishes the schedule three
weeks in advance of meetings. Members shall review the schedule to
determine if they have been assigned a role.
They must find a replacement promptly if they cannot attend the meeting.
In this case, it is the member’s responsibility to notify the membership
that they will miss the meeting.
Officers who will be absent from a meeting need to
ensure another officer is covering their responsibilities for the
meeting.
The Toastmaster will contact the speakers before
the meeting to obtain their speeches' titles and introductory remarks.
Evaluators will contact the speaker they are
evaluating before the meeting, to set up goals and to find out what areas
of improvement to concentrate on.
Meeting participants must be on time so that meetings can start on time.
Pre-requisites for Meeting and Club Roles
All members can perform any of the meeting roles.
Some roles require more experience than others.
For these roles we have specified the following prerequisites.
