I will be holding a volunteer meeting on Wednesday February 8th, 2006 from 11:30 – 1:00 pm at Fauteux Hall, Room 136. This will be a very short meeting and will give me the opportunity to meet all of you and have you sign up for the volunteer position/panel that you would like. Positions/panels will be on a first come first serve basis.
As you may know, there are several positions that we will need volunteers for and the positions have different time commitments. The most time intensive position is being a special rapporteur. The other positions consist of registration, set up in the morning/coffee breaks, and assistance with the reception. I will explain each in detail below. SPECIAL RAPPORTEURS:
This is an extremely important volunteer position, as these volunteers will be taking notes on the conference presentations. The presentations are divided into 5 different panels (4 student panels and a keynote speaker), as per the agenda. Each panel will require two special rapporteurs (SP). The SP will be responsible for taking notes for the three to four presentations within the panel that they are designated. These notes will become the "conference proceedings" and will later be published. It is imperative that if you are volunteering for this position that you have impeccable note taking skills and are able to type/write quickly and coherently. It will be up to the SP to later convert these notes into a format that is easily readable and publishable. In other words, the SP will need to go back over their notes and ensure that the notes taken are coherent, accurate and comprehensible. They will be published as is. This is why there are two SP. You may collaborate with each other to ensure that nothing is missing, or you can divide up the panel so that each SP takes notes for half of the panel presentations.
SPs will get credit on the published piece for their hard work and their contribution to the transcription of the presentation. It is recommended that SP have laptops for efficiency; however, it is not required. Conference proceedings will be published online, and pending funding, will hopefully be published in hard copy to be sold/distributed/given the following year. If you are interested, please indicate your choices of the 5 different panels (the keynote speaker is the 5th panel). Please give your top three choices. I will try to accommodate as best as possible. SET UP/REGISTRATION Registration begins at 8:30. Only three to four volunteers are required for this position. We need assistance with greeting, seating the judges, making sure the conference packages (putting agenda, bios, CLAIHR information and name tags together) are set and ready, distributing the name tags for the presenters/judges. This is fairly easy, all the information will be provided. There will be tea/coffee available during this time. Volunteers are to help prevent students not participating or attending the conference from taking refreshments (muffin police).
Set up will also involve directing the NGO organizations that will be coming to set up information booth to the appropriate place. Information booths for various organizations will be from 12:30 - 1:30 pm on the 3rd floor. Volunteers will assist the NGO representatives to the right place and place posters up to direct everyone to the booths. RECEPTION Reception will be held in the 3rd lounge FTX. We will be having a catering group come up. Volunteer assistance here will mainly consist in ensuring that everything is set up properly for the reception.
