Minutes of Working Group Meeting 17th January 2007

Present: Steve Sugden, Nigel Harper, Fiona Royce, Jenny Jones, Rachel Ramsden, Ted Ward, Tony (observer with a view to joining group)

Apologies: Bill Peck, Georgia Moore, Jo Spencer, Eric Bark

Points raised at AGM:

Theme confirmed as 'Story Time'

-The play equipment would be made available and a smaller tent used. Swings will still be tied up.

- Ensure site is more accessible and stalls well layed out for wheelchair & pushchair access. Also request use of Car Park as a games area.FR

- WI already volunteered to do the refreshments. Concerns were raised about the whole use of the hall and facilities, FR to arrange meeting with Gerry Mills & Sandra Thornley and request Gill Bark to attend a careful negotiation.

- Shop Window Competition to be discussed at next meeting.

- Photo Album idea. To be discussed at next meeting

Finances

Currently holding �460. 2 chqs uncashed from AGM distribution. ROFC Juniors & Sword Club . FR to chase.

Bookings to be made:

-Grange and Grange Hall. Done for 2007 & 2008. However, as Wedding Licence now obtained, we agreed it would be prudent to ask GHM to consider the 2nd Saturday of July as Carnival Day and to keep clear. FR. Steve aware that a booking has been taken for the evening of the Carnival, although Georgia had intimated the Parish Council would look at doing something. Clarify with PC. FR

-Licences: Raffle & Street Collection. Jenny has sorted for �17.50.

-Insurance. Quote is �250. JJ to renew once enough funds allow.

Entry forms

Stall & Procession forms to be updated and distributed. JJ

Arena Events:

-Radventures are looking to support the Carnival by supplying a performance artist. FR to liase with Beryl Cobbing on progress.

-Samba Band are well liked and create the right atmosphere, but we don�t want them to become 'old hat'. EB to discuss with Briony Pereira.

-Decided to ask the Savoyards. JJ will contact Annette to ask.

-Punch & Judy - well liked. Need to book early SS to action

-if need a musical group. Paul Topliss� group could be approached.

Main supporters/helpers:

Refreshments - WI

Black Lion - Sean & Jock move soon. NH to write thanking for their support & wishing them well. They have already intimated they would be willing to come back for the Carnival, however if a suitable alternative is available locally that may be preferable. We will await the various pub changes.

Gate - RAINS & ROFC girls section have volunteered already. Scouts have also said they would like to do it, as it is a good fund raiser. ROFC Girls were very impressive. JJ will suggest to Scouts they could run a Games Area instead.

Raffle - no one has come forward yet. Suggested that Bill could organise this as a fundraiser for the British Legion. FR to discuss.

Set up/down - hoping for a good group of 6th formers, as well as assistance for Steve. T? thought he could get a group of muscle to relieve the burden.

PA/announcer - Kevin does a fantastic job and we have no wish to ask anyone else. SS to approach again. Roy Taylor(aka Vince Eager) has also volunteered to help. He would be great on the mic. Dave Cotterill is good with the participation events. FR to liase with both.

Street Collection - LIONS already agreed to do again. JJ liasing

Bouncy Castle - Friends of Guiding already volunteered. JJ liasing

Childrens Corner - will ask Playgroup after AGM in March.

Games Areas - EW to ask Bob Jones to run indoor games again, although in foyer/Trent Room. JJ to ask Scouts to run outdoor games in Car Park area.

Equipment:

Gazebos - require repair and care when erected as some bits have broken.

Bar Tent- NH to purchase 3x9m gazebo up to �70.

Chairs/tables - SS to liase with St Mary�s to ensure they will be accessible.

Website: www.rotcarnival.co.uk - requires updating. FR to liase with Brendan.

JJ will forward updated entry forms.

AOB

NH to visit new head (Tim Mitchell) at Dayncourt during his 'drop in clinic'. Primarily to put him in the picture regarding the Carnival and the contribution from school, as well as asking him to be a judge.

Nigel suggested all correspondence of any form, should go out with the date and theme under the heading. ALL

Next meeting - Monday 12th March @ 46a Cropwell Road. 7:30pm

Please advise Agenda items by 10th March 2007.
