 Volunteer Job Descriptions

Each family must sign up for 5 specific duties at registration. These jobs will be done at the meets. Some jobs are only pertinent for home meets. They are marked with an (*) asterisks.

*Set-up:
Help set up the pool area for the meet

  • Starting blocks, lane ropes, backstroke flags, chairs set up for the staging area, lounge chairs stacked and pushed aside
  • Starters table and computer area set up.
  • Post any notices pertaining to the meet.

*Clean-up:

  • Help clean up the team areas of any garbage, lost and found items
  • Empty all garbage cans
  • Replace all starting area chairs in closet
  • Put lounge chairs around pool
  • Put backstroke flags, starting blocks, and starters table away
  • Check restrooms and clean if necessary.

(*)Starter (requires Certification) - Runs the Meet, must also be a Stroke and Turn Judge.

(*)Runner After each event    , take the time sheets to the computer person.

(*)Scorer Helps enter the times into the computer during the meet. Double checks times to verify.

Ribbons 2nd shift and after the meet (to finish).

  • Work at the computer area.
  • Attach labels to 1st, 2nd, 3rd place ribbons (Home Team provides these for BOTH teams). MV has 4th, 5th, and 6th place ribbons also, which should also be completed.

Notes:  Make sure the labels are for MV swimmers. The other team will have ribbon volunteers also. Please watch for duplicates and point it out to the computer person. Do not adhere duplicates. Place finished ribbons in the family file under the swimmers name. Store any unused labels in the family file box under coaches. These may be used for other ribbons.

(*)Concession Stand First shift helps to set up the stand beginning at 5:00pm. At 5:30pm open the stand for drinks only. At 6:00pm, open the stand for everything. Second shift will sell food and drink, and clean up the concession stand. NOTE: EACH shift, someone should fill several drinks (about 30) and walk around offering them to the officials, timers, computer, ribbon, runners, bullpen, staging area, starter, head official, and coaches from each team. Only one drink is free. Food is not free to the workers.

Stroke/Turn Judge (must be certified) - Judges the strokes during the meet.Typically 3 officials from each team needed each of the meet.

Bullpen This is the area where all the swimmers should gather, and where they will be organized for their upcoming events. This includes following the heat sheet and informing swimmers when they need to go to the staging area or when they can go to concession, visit with family, or go to the bathroom.

Staging Area The area just before swimmers get onto the starting blocks. They are arranged by heat, lane and event.

Timer Each team provides one timer per lane. Attend the Starters meeting to learn how to work the watch.

Notes: Timer's must ask each swimmer his or her name to verify they are in the right lane.  Results can be inaccurate if not done correctly. You should start your watch when you see smoke from the gun, or the flash from an electronic starter, not when you hear the sound. Stop the watch when the swimmer touches the wall. The difference between timers should be .30 or less. Please be prepared to get wet feet!
