CONSTITUTION AND BYLAWS

Name

  • The name of organization will be “ Mechid Hikers Club (Regd)”.

Objectives

  • The purpose of Mechid Hikers Club shall be to preserve, to stimulate an interest in, and to familiarize its members and guests with Pakistan's mountainous areas and to promote their protection and preservation and an awareness of responsibility for good conservation practices. To encourage hiking, camping, mountain climbing and other outdoor activities and the spirit of good fellowship among its members and guests and to enlist the cooperation of individuals and private concerns in carrying forward these activities.
  • Mechid Hikers Club is formed to promote Hiking, Trekking, Backpacking, Bushwalking, Trailing and Mountaineering among youngsters. Hiking is a natural exercise that promotes physical fitness, is economical and convenient, and requires no special equipment. Because the hiker can walk as far as he wants, there is no physical strain unless he walks among hills or mountains. (Say no to Drugs)
  • The mission of this association is to provide scheduled hikes and other recreational activities for members and their guests. Trail maintenance and trail construction will be first priority of the club members.
  • Mechid Hikers Club will schedule a variety of easy, moderate and strenuous hikes including out-of-town hiking trips. All hikes will be led by trained hike leaders throughout the year. The M.H.C shall also schedule during the hiking season a variety of monthly socials and /or appreciation events such as the Annual Dinner.
  • In addition, the Mechid Hikers Club shall participate in and support organizations in efforts that pertain to trail access, improvement and use. M.H.C will always raise a slogan "Say no to Drugs".

Board of Directors

  • Direction of the Mechid Hikers Club is the responsibility of the Board of Directors, which consist of President, Vice President, General Secretary, Finance Secretary , Hike Planning Director, Press Secretary.
  • The Board of Directors will be elected after every two years by a simple majority of the members voting on 22nd December meeting. The President and the Vice-President may not serve more than two consecutive two-year terms in the same position. New president assume the duty at the first board meeting after the annual meeting.
  • If a president is absent from three (3) consecutive meetings of the board, or from five (5) meetings in any twelve (12) month period, the board must vote on whether to remove or retain that president. In case of removal, the Vice President is eligible to re-fill the position.
  • In the event no one volunteer is willing and /or able to take on the duties of President, the number of Board Members-at-Large may increase. The Board will then determine the best way to accomplish the presidential duties. President conducts Board and general membership meetings. Vice President acts for the President in all matters in his absence and performs special assignments as requested by the President or Board.
  • The Board of Directors will meet at least quarterly. A quorum for the Board shall consist of a simple majority of directors. Special meetings of the board may be called at any time by the president provided that all directors are notified in advance.
  • The President, with the concurrence of the Board, will appoint members to fill any director vacancies that occur prior to the member meeting during the quarterly meeting. General members meeting will be held two times a year. The President may call additional member meetings if necessary.
  • Hikes will be organized by the Hike Planning Director. The schedule will be published quarterly via the website / SMS.
  • General Secretary takes minutes of board and membership meetings, handles Organization correspondence, and maintains historical records of the Organization. Finance Secretary maintains all financial records. Finance Secretary presents regular financial reports to the Board and the members during quarterly meetings.
  • Finance Secretary has charge of all association funds. He has custody, jointly with President and Vice President, of the Club's Bank Account. Countersigns with the President or Vice President all checks for authorized expenditures. Disburses funds only with approval of the Board of Directors. Expenditures and other miscellaneous bills to be paid with association fund and when paid, furnishes the account with a record of such payments.
  • Hike Planning Director plans a schedule of weekly hikes for each quarter, presents a calendar of hikes and maintains and updates a set of hiking guidelines to be published on the website, furnishes guidelines and waiver forms for hike leaders, and maintains files of hike reports. The Hike Planning Director may select members as Short-Hike Planner and Long Hike Planner to assist in the duties. Hike Planning Director provides membership applications to prospective members, maintains a file of the completed applications, collects annual dues from each member, and provides an updated roster of members to the President at annual meeting.
  • The Organization may accept contributions and grants relesased by government. The Organization will retain sufficient control over all designated contributions to ensure funds are used in accordance with the Organization's needs. Mechid Hikers Club deeply values the Government contributions to sustain our mission. We recognize that philanthropy is based on voluntary action for the common good.

Membership

  • Any person at least Eighteen (18) years of age and interested in the objectives of this association is eligible for membership.
  • Membership in the associatio is granted to whom agreeing to the purpose of the association, paying the annual membership fee and signing the liability releases and assumption of Risk Form.
  • Membership status entitles a member to participate in hikes upon agreement of the hike leader and to attend the social activities. Members are responsible for following the guidelines laid out by the hike leader, for refraining from soliciting other members for business, and for maintaining decorum at social gatherings.
  • Members must participate in at least three (3) club functions organized by Board of Directors and show proof of current membership.
  • The Board of Directors by majority vote can expel any member who violets the club rules.

Discipline

  • Notwithstanding any other provisions of the guidelines, no member, officer or representative of Mechid Hikers Club shall take any action or carry on any activity by or on behalf of the M.H.C not permitted to be taken or carried on by the organization.
  • Any member who by his conduct violates any of the provisions of the Constitution and Bylaws, the rules of conduct, or the code of ethics, may be expelled from membership by the Executive Board in a meeting assembled, by a three-fourths vote of all the directors, provided that said member shall have been given at least ten days’ notice in writing of such pending action. Service of such notice may be made by personal delivery to such member's last known address.

Amendment

  • Any changes or additions to these Bylaws will require Board approval.
  • Bylaws may be amended by two-thirds majority of members present at a regular or special Club meeting, provided the members has been given ten (10) days in advance notice of the amendment.
