By-Laws, Mission Statement, Goals & Objectives


1. Mission Statement: To co-ordinate, encourage, and promote the sport of archery within the community of Lloydminster and surrounding areas.

2. Goals:

2.1. To develop and promote a variety of educational programs for "all" intrested participants. ("all" = children, youth, adults, people with special needs or disabilities.)

2.2. To promote ethical, safe procedures and practises while involved with the sport of archery.

2.3. To provide members of the Lloydminster & Area Archers' Association the opportunities for further development through education, competition & fellowship.

2.4. To promote the sport of competitive and non-cometitive archery within our area.

2.5. To promote ethical and safe bowhunting as a relaxing and challenging form of outdoor exercise and sport.

3. Objectives:

Our association objectives for 2001 are as follows:

3.1. To increase membership by 50%.

3.2. To offer more programs to youth as they are the aspiring archers' of tomorrow.

3.3. To continue hosting 2 - 3D competitions each year (One Winter indoor. One Summer outdoor.)

4. Name:

4.1. The name of the association shall be Lloydminster & Area Archers' Association.

5. Membership:

5.1. Membership is open to any and all person(s) who are intrested in promoting the goals of the Association.

5.2. There shall be three (3) types of memberships in the Association; namely, single membership, family and associate.

5.3. All members over 18 years of age will have voting privileges at all meetings of membership.

5.4. All members over 18 years of age may stand for election for the Board Directors.

5.5. The membership fee shall be determined by the board of Directors from time to time.

5.6. Membership cards shall be issued to members and signed by either the President, Vice-President or Membership Chairman of the Association.

5.7. Any person(s) shall cease to be a member in good standing of the assocation:

a) By delivering notice of resignation in writing to the Board of Directors through the Secretary. There shall be no refund of fees on cancelled memberships.

b) Any member who fails to pay the required membership fee shall be automatically suspended upon the expiration of one month from the due date of the membership fees.

5.8. A membership of the Assocation shall be terminated by the Board of Directors if the conduct of the member is deemed detrimental to the goals of the Assocation. Notice of intent to terminate membership must be given in writing 14 days prior to the date of the meeting in which a decision to terminate is to be made and the member shall be given the opportunity to be heard at such meeting.

5.9. Memberships are not transferable and all memberships shall expire on the last day of December each year, regardless of the date the membership was obtained.

6. Meetings:

6.1. There shall be at least one general (A.G.M.) meeting per year.

6.2. At every A.G.M., in addition to all other business, an Annual Report of the Board of Directors & the Annual Financial Statement shall be presented.

6.3. Elections shall place for Board of Directors' positions at the A.G.M.

6.4. Membership meetings will be called & set, as deemed nescessary by the Board of Directors. But at least, once every 3 months.

6.5. Any 5 members of the Board shall constitute a quorum, and mettings shall be held without notice if a quorum of the Board is present, provided, however, that the business transactions at such meetings shall be ratified at the next regularly called meeting of the Board; otherwise they shall be null and void.

7. Duties of Officers:

7.1. President: The President shall preside at all Executive, Board and General Meetings of the Association. He/She shall be an ex-officio member of all committees and represent the Association from time to time as required. He/She shall assume duties as he/she feels will subscribe to the goals and objectives of the Assocation and shall perform such other duties as usually pertain to the office of the President.

7.2. Vice-President: The Vice-President shall, in the absence of the President, preside at all meetings of the Association and discharge related duties. He/She shall assume duties as assigned by the President and the Board of Directors.

7.3. Treasurer: The Treasurer shall receive all monies paid the Association and be responsible for deposit of same in whatever bank the Board may order. He/She shall properly account for all receipts and disbursements of the Assocation and keep such ledgers as may be directed and shall render a financial report at every A.G.M. The books and ledgers of the Treasurer shall be open at all times to the Board of Directors. He/She shall submit the books, ledgers and accounts of the Association to Auditors approved by the Board Of Directors. He/She shall assume duties as assigned by the President and the Board of Directors.

7.4. Secretary: The Secretary shall attend all meetings of the board and keep accurate minutes of the business of the Association. He/She shall process the day to day business of the Association and shall invoice members for fees and assessments and forward all necessary paperwork for membership. As required, he/she shall collect and receive the fees and assessments; such monies to be promptly turned over to the treasurer. He/She shall assume duties as assigned by the President and the Board of Directors.

7.5. Awards Co-Ordinator: The Awards Co-Ordinator is responsible for maintaining the Saskatchewan & Alberta statistics for the members within our Association. The Co-Ordinator will be responsible for forwarding all vital information to the appropriate offical agencies, to insure that all members are recognized at the Local, Regional & Provincial Levels.
