Main Tasks:
On a quote's first
day, I receive specifications on an item, and then will
prepare a Request for Quotation (RFQ) sheet. Once the sheet
is done, I send it to a minimum of three companies (vendors).
Once that is complete I am done with those vendors for that
day, unless they call back asking for more specs. If I cannot
provide the information for a question they have, I will
then retrieve more information and inform the vendor that
called as well as the others to update what I faxed.
On the second day of the
quote, I will then call the vendor and ask if they are doing
"OK" with the quote, and if possible to send it
back on the second day. If they cannot, then it is mandatory
for them to send it on the third day (prior to 4:45 p.m.)
on most occasions, or they may have a "No Response"
placed on the quote-summary sheet.
On the third day, I will
analyze the data and make the quote summary sheet, and will
award the vendor the items/s for the department/campus that
requested the items.
Other Responsibilities:
Upon getting to work, I am asked to be the acting receptionist's
when the secretary calls in sick, or has to be away for
a few hours. During this time I still do my regular tasks
(since I can access my work from any workstation), only
I have to answer any calls that are forwarded to the department.
Aside from that, I assist vendors when they come in to turn
in bid packets; help direct the persons that are lost in
the building find there way; take messages for the director
of purchasing; retrieve the mail and sort a large amount
into the correct in-box.
After scanning more than
a thousand quotations for the duration of my employment,
it became apparent that scanning the quotations on to the
database did required some work, but was immensely useful
in retrieving information once the hard copies had been
filed and stored.
