CHOICE was created to be an open (i.e. inclusive), co-operative and respectful environment in which homeschoolers could gather. Part of that co-operation and respect is in organizing events by consensus of all involved members, rather than as independent organizers. All C:HOICE members therefore agree to abide by the Event-Planning Agreement. |
Event-Planning Agreement (addendum to the C:HOICE Members' Agreement)In keeping with the C:HOICE foundational principles of inclusiveness, co-operation and respect, we agree to follow these steps when organizing events and activities for homeschoolers: I. C:HOICE events and activities1. Bring ideas to the group for discussion. We agree to post any ideas for C:HOICE events and activities to the e-list for preliminary discussion and group consultation. (If you don't have email, you can ask another C:HOICE member to relay your message.) 2. Communicate respectfully, constructively and caringly. We understand that discussion allows for brainstorming, voicing concerns, addressing concerns, offering feedback and comments. We agree to express our discussion (and all communication) respectfully, constructively and caringly, following the communication guidelines. 3. Help reach group consensus. We agree to build group consensus by responding patiently, caringly and constructively to each other's concerns and wishes. NOTE: Consensus doesn't mean that all members choose to participate in the event, only that none of them object to C:HOICE hosting the event. 4. Help determine consensus within the timeline. In determining whether consensus has been reached, we agree to assume that members who have not voiced disagreement or concerns within the timeframe, consent to the group proceeding without their input or explicit consent to the idea itself. By the same token, we agree to allow the group to assume our own consent to proceed if we have not voiced our perspective within that timeframe. When the timeframe is not explicitly stated, we agree to allow up to 3 days for responses to be initiated. If a decision needs to be made more urgently than that, we agree to allow a timeframe of at least 24 hours, if at all possible, to allow members to become aware of the topic under discussion. We will each take responsibility for keeping up-to-date with the consultation process by checking in by phone, by email or on the e-list on a sufficiently frequent basis. 5. Make tentative arrangements. If the preliminary consensus is to pursue the idea, then a committee can be formed, consisting of one or more volunteers. The volunteer committee makes tentative arrangements and brings them back to the group for further discussion until it has been determined that final group consensus has been reached. 6. Finalize arrangements and announce the event. Once there is final consensus, the volunteer committee proceeds with finalizing arrangements and the event is announced to C:HOICE members on the e-list and through the phoning committee, and to all potential non-C:HOICE participants through other e-lists (such as hs-ontrips) and the rogers.com extended email list. All potential participants can also be informed in person at the playgroup, a support meeting or other C:HOICE activity. 7. Confirm attendance within the timeline. We understand that planned attendance at a field trip needs to be confirmed within a certain timeline, especially if it will be cancelled if there aren't enough people. We agree to communicate with the appropriate committee within that timeline. When payment for an event is required in advance, we agree to make the payment within the given timeline. II. Personal invitationsC:HOICE members can, of course, get together independently of the group, by personal invitation extended from one family to another or a few others. When several C:HOICE families are invited, though, care should be taken to clearly identify that this is a personal invitation rather than a C:HOICE event. Any group event organized for more than a few C:HOICE members is not a personal event, but one that affects the group, and should therefore follow the procedure delineated in section I. We agree not to schedule such multiple-family gatherings to conflict with C:HOICE activities from which they could draw away participation. III. Non-C:HOICE eventsNon-C:HOICE events are those organized by businesses, organizations, non-C:HOICE groups, and non-C:HOICE individuals. Some of us are members of several homeschooling groups and may sometimes be involved in contributing to the organizational efforts of those other groups. It is understood that such a situation does not constitute an individual's unilateral organizing if the person is not the initiator of the plan. (Individuals should not join C:HOICE if they prefer to be independent organizers rather than work within the consensus-based format of C:HOICE.) As C:HOICE members, however, we agree to support C:HOICE even when we also belong to other homeschooling groups. This means we agree to do the following:
