INTRODUCTION

  Webmail providers evolved from a demand for ubiquitous e-mail access. These providers allow customers to send and receive messages from any Internet connected computer, regardless of geographic location. Most of these providers have evolved beyond basic e-mail functions into more elaborate service providing portals. Portals can be defined as Web sites or services that provide desirable resources beyond the scope of simple e-mail. Typical additions include search engine access, mail list retrieval, on-line shopping, folder organization, chat functions, security features, and instant messaging. Microsoft's Hotmail, one of the first ubiquitous e-mail services, can now be characterized as a competetive portal and webmail provider.

  EVALUATION

  The October 30, 2000, edition of PCMagazine has an article by Daniel Evans on Web Portals. In this article, he discusses how portals are attempting to fulfill all Internet needs in one area. By offering e-mail, chat services, newsletters, bookkeeping, online travel services, search engines and more, portals are expanding their uses. In addition, portals are attempting to provide the "stickiness" and "level of content" that will keep the user from switching to other search engines. However, the author found that according to existing users, many of the portals had mostly maintained their primary focus while adding on more options. For example, HotBot and AltaVista are still primarily used as search sites. Yahoo was the only portal that was judged as coming close to meeting all user needs and it was given an above average score for user satisfaction. MSN was given an overall score of average. The rating was obtained from assessing overall satisfaction, navigation and access. Although users appreciated its content, the search capabilities accessible from Hotmail were found lacking.

  Our group evaluated features, functionality, security, ease-of-use and ubiquity for both Hotmail and MSN Messenger (Version 3) and our assessment was mixed. Most members favored the features and functions of both applications. Almost all group members noted security options that were enhancements over other webmail providers. Ubiquity was apparent in that all group members tried the program somewhere other than their home/office location and it performed consistently with only a few options unavailable. Ironically, the only mention of search engine capacity was-INFERIOR! The one Achilles' Heel seems to be the fact that on occasion Hotmail is unavailable due to technical difficulties. Other than this somewhat glaring flaw, the products are AVERAGE!

  Hotmail Corporation originally developed Hotmail, the world's first web-based e-mail provider. Initially, it provided basic e-mail services from any Internet connected computer and later evolved to a portal. To remain competitive, Hotmail added many of the additions portals provide. When Microsoft acquired Hotmail in 1998, it quickly became the fastest growing e-mail service on the Web. To date, Hotmail is a free advertising-supported e-mail service from Microsoft Network (MSN). It is integrated with the MSN instant messaging service, MSN Messenger.

 

 
HOME PAGE:
  • Function buttons, such as Inbox, Compose, and Delete, frame all incoming mail and the currently used function is highlighted in green.
  • Hotmail News is a feature that provides readily accessible terms and conditions of service.

POP-UP STATUS:
  • This is activated whenever a user is online (regardless of ISP) and operates as notification of e-mail receipt.
  • It can be run automatically or from the toolbar and is integrated with MSN Messenger.

E-MAIL ADDRESS:
  • Once an e-mail address is created, it is permanent and will never change as long as the user continues to use Hotmail.
  • The address remains the same regardless of the ISP provider.

    "Since the Hotmail address remains the same, you don't have to worry about retrieving messages from your old address or notifying friends, family and associates of a new e-mail address"


INBOX:
  • Messages are stored in a central location so the Inbox is always up to date.

    "Easily organized e-mail with several options"

    "I can check my e-mail regardless of where I travel"


FILE ORGANIZATION:
  • E-mail messages can be organized by the sender's name, date received or subject.
  • Inbox Protector offers a bulk mail folder for junk mail which can be set to automatically rid the Inbox of junk mail periodically.

ADDRESS BOOK:
  • An individual or group may be entered with the option of adding more information regarding the entry.
  • Senders can also be blocked.
  • MSN Messenger buddy lists can be added from this location.

    "Easy to enter information because it only requires a person's name and e-mail address to be entered"

    "One huge drawback that I saw with the group functionality was that I had to type in every individual address for the group. It would be helpful if I could at least browse to the local Hotmail addresses…and add them to a group"

E-MAlL SEARCH:
  • To find a particular e-mail, search by keyword or phrase and specify which folders in which to conduct the search.

MSN CALENDAR:
  • By specifying a date, a personalized reminder will appear in Hotmail's Inbox.
  • The calendar can be timed to send a message minutes before an appointment.
  • The Today Page provides a summary of daily reminders such as appointments, a "must-do" list, and reminders. It also gives a count of e-mail messages and links to MSN Messenger.

PHOTO CENTER:
  • Pictures can be organized and uploaded from Http://communities.msn.com/photoalbums.
  • Access can either be restricted or open to friends and selected viewers.
  • E-postcards and a personalized photo album can be created.
  • Free Web space is available to develop a personalized Web site.

    "Advertisements are a drawback because they took up more space than the actual photo tools"

NEWSLETTER ACCESS:
  • WebCourier offers free newsletters which are sent to the Inbox.
  • Easy to use subscription is enabled by ticks and checkmarks.
  • Examples include Money Central, WebMD and Sony Music.

    "I tried one of the newsletters and it came in a timely manner, and it appears that Hotmail had perused the newsletter for reliability and content"


DIRECTORIES SERVICE:
  • This offers a "White Pages" listing of US information much like a phone book.

    "Great and easy to use, especially if you live overseas and don't have access to an US directory"


LANGUAGE SETTING:
  • Translates e-mail and access settings to different languages (the two newest languages are Korean and Chinese!)
  • This feature was not used by group but interesting and competive feature

SECURITY:
  • The SpamProtector blocks unwanted email.
  • The chosen Password (which is the same as the user's Hotmail e-mail password) and the contact list are stored in the Registry (HKEY_CURRENT_USER/Identities). They are both stored as ASCII values in a binary field.
  • The Passport feature ensures user protection with encrypted security features.
  • Hotmail provides the McAfee virus scan on all incoming e-mails and attachments.
  • The Increased Security feature, available only with the 3.0+ Netscape or IE browser, is a sign in option that that expires pages from the browser's cache upon sign out.
  • Microsoft is a member of TRUSTe, an independent, non-profit initiative that exists to help people feel confident about using the Internet for communication, shopping, and research. TRUSTe provides the principles of disclosure and fair information practices among the Web sites that participate in the program.
  • Spam Protector was a favored feature by most members

MSN Messenger
MSN Messenger

  MSN Messenger, another Microsoft product, functions much like other IM services. It provides both individual and group chat-like functions and operates in real-time. The user can work in other applications while the MSN Messenger function remains available through an alert window that pops up when there is IM activity. Like other instant messaging services, it has portal connectivity, address book functions, security options, file organization functions, and additional communication tools.

 
MESSENGER WINDOW:
  • Messenger can be run from the toolbar or it has an automatic feature with a pop-up initiated from ISP sign-on.

  • The Messenger window displays the user's on-line status (busy, out to lunch, etc.), the on-line status of contacts and the contacts that aren't on-line.
  • Pull down menus show on line status, allow contact addition, and has a file open/send function.

TOOLS MENU:
  • Enables Instant Message commands to a contact, pager, or e-mail account.
  • This houses the Options function that personalizes MSN Messenger.

PERSONAL OPTION:
  • Profile can be edited/created and provides a place to choose an on-line name.
  • Displays home phone, work phone and mobile pager numbers.

PREFERENCES:
  • This tab has option settings such as whether or not to put the icon on the task bar and whether or not to receive IM"alerts" while on-line.
  • Another key function under this tab is the ability to dictate where files are stored when they are received through MSN Messenger.

    "Some members preferred the task bar settings to the automatic feature."


PRIVACY:
  • Manages who views the user's on-line status and who can send incoming messages.
  • The "view" button allows user to see who has added them as a contact.
  • The "Alert me when other users add me to the contact lists" button shows when the user has been added and an e-mail is sent to confirm.

    "I particularly liked this option because I could set it to "hide" my online status when I was busy with other things on-line"


ACCOUNT INFORMATION:
  • The account tab details account information, the user e-mail address and password.
  • It also gives an access option for a required password upon Hotmail sign-in and enables password changes.

BUDDY LIST:
  • Members can be added by clicking the "Add" icon and can be added by e-mail address or after a search.

    "Not a useable option when traveling because entire list has to be re-created; Hotmail doesn't enable buddy list for Messenger when traveling"


FILE SHARING:
  • Pictures, music and documents can be exchanged via MSN Messenger.

BUDDY SEARCH:
  • MSN Messenger can search for accessible contacts.

    "You can only search the Hotmail Member Directory and you must enter at least one character for both first and last name"

    "The person's name must match exactly"

    "Search cannot be conducted by hobbies or interests"


MONEY CENTRAL:
  • Tracks personal stock portfolio but is only available in the US and Canada.

VOICE CALLS:
  • International calls can be made at a set rate or for free from within the US through the worldwide phone connection.
  • PC-to-PC and PC-to-Fax is enabled by browser-based Java applet or proprietary software for MAC or Windows.

INDIVIDUAL CHAT:
  • Real time chat functions with options to have other members join.
  • A status box shows whether the chat recipient is away, typing back or online and not responding.

GROUP CHAT:
  • NetMeeting provides group sessions via video or white-board.
  • Applications, such as PowerPoint, and document creation can be shared during NetMeeting.

    "Collaborating on documents can be dangerous if collaborating with someone untrustworthy because you are giving control of your computer to the other person!-Useful only in a Help Desk environment"

SECURITY:
  • COPPA (Child Online Privacy Protection Act) support is provided by MSN Messenger and child access is controlled.
  • MSN Messenger also subscribes to TRUSTe.

    "Curiously, the program is apparently using Crypto API Hash functions for_something_but its unclear what"

 

"MY MSN HOME PAGE"
MSN offers users a customizable home page to display links to all of their favorite places, news, weather, personal links, email, messenger, etc. Users can tailor the sections of the page so that the most relevant information to them is displays first. They can also choose not to display information at all if it is irrelevant. Users can add their own personal links to this portal page; however, links must be inserted by manually typing them in (or cut and paste) -- there is no way to simply add a link like one would add a favorite to their web browser. Users can change the color of the page by choosing a preset color scheme.

 

CONCLUSION
Microsoft seems to have taken a streamlined, moderate approach in designing Hotmail and MSN Messenger. Both are fairly easy to use and meet the needs of a novice or average user. In fact, in the PCMagazine article about portals, MSN is mentioned as one of the programs that new users stick with until they know enough to want more from a portal. This highlights its basic functionality. Ubiquity is obvious in that it is consistent and accessible from any ISP connection. Average as this portal is, it is functional for its purposes.
