THE FOLLOWING ARE CONDITIONS THAT HAVE BEEN SET BY MANAGEMENT
AND ARE FULLY SUPPORTED BY THE SHELTER TEAM
Rules for Use of Clubhouse as
Hurricane Shelter
1. The clubhouse only may be used as a hurricane shelter under tropical storm or Category 1 or 2 conditions.
If a mandatory Level C evacuation is ordered, the clubhouse must be evacuated.
2. Management discourages the residents' use of the clubhouse as a tropical storm or hurricane shelter. Those
residents who choose to evacuate to the clubhouse do so at their own risk, with the full knowledge
that they WILL be in jeopardy should a low-level storm strengthen unexpectedly.
The following should be considered before an individual chooses the clubhouse as a shelter:
· Evacuating the clubhouse after the storm worsens may not be possible because of traffic restrictions.
Also, other shelter options will be full.
· The clubhouse is unlikely to withstand a storm of Category 3 or greater.
· The length of stay in the clubhouse will increase from perhaps overnight to multiple days.
· Power probably will be off which means there will be no air conditioning, fans, coffee, etc.
· The clubhouse's limited bathroom facilities could be impacted, because with more usage, there is more potential for failure.
· Food and other supplies may run out and a trip home to replenish them will not be possible due to storm conditions
· Emergency medical situations can not be attended to.
of county-approved
shelters. A county-approved shelter is located nearby at
be permitted to use the clubhouse as an evacuation shelter. The approved county shelters have trained medical personnel
for handling such medical problems and emergencies.
I HAVE READ THE ABOVE RULES AND UNDERSTAND AND AGREE TO THEM
AS A CONDITION OF BEING ALLOWED TO USE THE CLUBHOUSE AS AN EVACUEE

PRE- EVACUATION NOTICE
THERE IS NO
EVACUATION
IN EFFECT
AT THIS
TIME
IF AN EVACUATION
SHOULD
EVER BECOME
NECESSARY WE WILL
"TRY" TO ADVISE YOU
AT THIS SITE.
BUT YOU MUST
WATCH & LISTEN TOO!
We now also have special
RED & BLACK Warning Flags
that will alert you to the possibility
of an Evacuation. (at the Clubhouse & Dock)
Note the word "possibility"
We will also post signs by the Clubhouse
To alert you at the time reading:
"PRIVATE
SHELTER "
They will be followed by Special Horns
If and when the Evacuation is truly
called.
The plan is to then have special
SIREN ALERT
HORNS
Blowing up and down the
Village streets to alert you
In the event of a need to
Evacuate.
Everyone who intends to stay at the Clubhouse during
any particular Hurricane
Must REGISTER when
arriving at the Clubhouse. Notice when
the Clubhouse
Is available for Evacuation Use will be given by whatever
means is available at the time including but not limited to:
FLYING THE HURRICANE WARNING
FLAG AT THE CLUBHOUSE & PARK.
POSTED NOTICE ON THE CLUBHOUSE DOOR & SHELTER
BILLBOARD.
LOUDSPEAKER OR BLOWING HORNS
OR SIRENS FROM A CAR DRIVING THROUGH THE VILLAGE.
NEIGHBORS TELLING NEIGHBORS
& CALLING EACH OTHER.
OTHER IDEAS THAT MAY BE
USEFUL.
AT REGISTRATION THE
TEAM VOLUNTEERS WILL LOG IN YOUR NAME,
PHONE NUMBER & STREET
ADDRESS AS WELL AS OTHER INFORMATION THAT MAY
BE USEFUL IN THE EVENT OF
ANY UNFORESEEN PROBLEMS THAT MAY OCCUR.
AT THIS TIME YOU WILL BE ASKED TO CONFIRM THAT YOU HAVE BROUGHT
THE MINIMUM SUPPLIES THE TEAM MAY FEELS IS NEEDED TO BE COMFORTABLE
DURING WHATEVER EXPECTED PERIOD THE EVACUATION MAY EXIST.
THIS WILL INCLUDE ITEMS FOR COMFORT SUCH AS A PILLOW & BLANKET & OTHER
THINGS OF A SIMILAR NATURE (SLEEPING BAGS, COTS, FLOOR MATS, ETC.) THAT
YOU FEEL WOULD BE NEEDED. A SUPPLY OF BOTTLED WATER & NON-REFRIGERATED
TYPES OF FOOD & SNACKS INCLUDING SOFT DRINKS. SOME GAMES, BOOKS,
PLAYING CARDS MAY ALSO BE A GOOD IDEA IF IT APPEARS THAT THE EVACUATION MAY BE
FOR AN EXTENDED
PERIOD OF TIME. DON'T FORGET YOUR MEDICINES (BRING ENOUGH)
REGISTRATION IS VITAL AT THE
TIME of THE ACTUAL EVACUATION (and may not be avoided)
THIS
SHOULD NOT TAKE TOO MUCH TIME SINCE WE HAVE A GOOD GROUP OF VOUNTEERS FOR REGISTRATION ( IT IS ABSOLUTELY REQUIRED & NECESSARY). THE TEAM WILL CONFIRM
THAT YOU HAVE CHECKED IN & THAT YOU HAVE BROUGHT THE PROPER
AMOUNT
OF SUPPLIES AS SUGGESTED . YOU SHOULD REMEMBER TO
BRING AN
EXTRA SUPPLY OF WHATEVER MEDICATIONS YOU REQUIRE SINCE THERE

IT IS THE TEAMS' GOAL TO ONLY USE
THE SHELTER IN THE EVENT OF A
CATEGORY 2 STORM OR A
LEVEL C EVACUATION.
FOR CONDITIONS IN EXCESS OF
THESE GOALS YOU SHOULD SEEK SHELTER ELSEWHERE :
(IN A PUBLIC SHELTER, MOTEL, OR
RESIDENCE IN A SAFER EVACUATION LEVEL)
PLEASE LISTEN TO THE LATEST
BULLETINS ABOUT THE SIZE & STRENGTH OF ANY
APPROACHING STORMS &
HURRICANES SO THAT YOU CAN MAKE YOUR PLANS WELL
IN ADVANCE OF
THE TIME TO EVACUATE. THE
SHELTER TEAM WILL DO ITS BEST TO
MAKE ITS PLANS KNOWN TO THE
VILLAGE RESIDENTS BUT YOUR OWN JUDGEMENT
IS STILL A GOOD GUIDE FOR YOUR
INDIVIDUAL PLANNING.
MEETING NEWS
The first meeting of the 2002 season is set for June 22 for the Team Leaders. Plans for needed additional supplies will be
Discussed at that time. While our hopes for a large special emergency generator have been delayed, we still are looking at
Something we may be able to afford. Earlier this year we notified Contributors toward the generator that we were trimming
down our “wish-list” because of prohibitive cost, and offered to return contributions or keep them in our regular Shelter Fund
to be used for other supplies and maybe a smaller version of a generator. Thankfully only two people asked for their money
back within the specified period so we were able to move the remaining funds (approximately $ 900) for future use for supplies and any other needed equipment that will be determined at the next meeting.
SOME RECENT CORRESPONDENCE & OTHER USEFUL INFORMATION(old news)
Dear Mr. Morrison:
Thank you for the correspondence. I checked the
data you provided on the approximate elevation of the Clubhouse against the
Elevation of Clubhouse: 16.7' above MSL
SLOSH Data:
Grid:
I-52/J-15
Storm Surge
Category 1: 0
Storm Surge
Category 2: 0
Storm Surge
Category 3: 15.1' above MSL
Storm Surge
Category 4: 19.2' above MSL
Storm Surge
Category 5: 22.6' above MSL
The Grid information is a geographic designation
for the area that the Clubhouse and complex are in. The Storm Surge data is the
height above Mean Sea Level that each of the five categories of Hurricanes will
push water up on the land in that geographic area.
As you can see the area would experience
approximately two and one half feet of overwash in a
Category 4 Hurricane. Admittedly these are worst case values however,
our assumptions have always been based on planning for the worst case scenario.
Based on our planning assumptions and the
available data I would not recommend that you use the clubhouse for anything
greater than a Category 3 threat.
If you have any questions, need additional
assistance, or need to have hard copy verification please let me know.
Sincerely,
How About That
!
Gary Vickers, Senior Coordinator
NOTE: Our present plans are not to stay in the Clubhouse any
higher than a Category 2
But
isn't this nice to know that we have a little more level of protection? Ralph Morrison

SHELTER UPDATE TIME
Ralph Morrison & Jim Sidebottom
June is the time when we all are
forced to remember one of the disadvantages of living in Mobile Homes: EVACUATION during Hurricanes that may
affect our area. As you may know, we have
permission to use the Clubhouse as a SHELTER during Category I and Category II
Hurricanes. Residents and their visiting
Guests may take advantage of this if
they observe the RULES posted at the Clubhouse on the SHELTER’s
Notice Board located by the Colonial Blvd. Main entrance.
Our SHELTER Committee will be
meeting in the very near future to review the procedures that all of us will
have to follow in the event of an EVACUATION notice. In my opinion this season
may be a little more “trying” because there have been discussions by Emergency
Managers throughout the State of increasing the warning time to the public on
prospective Storms which may (or may not) cause more “False Alarms” than in
past years. We should be ready. Take the time to read the Rules, Plan Ahead
by accumulating necessary supplies, Listen and stay Alert.
SHELTER TEAM NEWS
The rest of this column reviews the previous statements concerning the rules that are in effect for the Shelter:
Please be aware that there are rules that will be followed and enforced by the Shelter Team to make sure that Safety and Order are the main guides for the Clubhouse's use as a Shelter. You will be required to register and agree to the rules when you come to the Shelter. We must emphasize that only Village Residents and their Visiting Guests will be permitted to use the Shelter. Village Apartment dwellers are included in the list of acceptable Evacuees.
This is a PRIVATE SHELTER, and we do not allow others to use it. They will be directed to go to the closest PUBLIC Shelter since they may not stay here.
We will also direct any of our
Residents who are in need of Medical Assistance to go a suitable Public
Shelter such as the one that will be set up at
Finally you all should start building up a small supply of foods, water, and other items that may be necessary in the event of an extended stay at the Shelter. The Shelter Team's Leaders will discuss these items further at Saturday Koffee Klutches and whatever emergency meeting may be called during this Season. Keep Alert; and this should be another safe season in the Village.
For all of you Computer Users:
We hope to maintain the WebSite we used last season. Updates will be made during the next few months, and it should become a good source for some of the latest information on the Shelter.
The address is: www.geocities.com/rjmltv/village
The SHELTER TEAM had come to a conclusion last year
at this time that PRE-REGISTRATION
would not be required for next
years' storms since we do have a capacity of 299.
HOWEVER you will still be required to register at
the Clubhouse as you check in with
your needed supplies; and it
will be on a "First Come, First Served Basis".
As we announced earlier, our Hurricane Notice Flags
have arrived.
If it appears that an Evacuation is very likely,
a special Red & Black Flag will be flown
at the Clubhouse and at the
Dock area to signal that you should get your necessary
supplies, medicines, water, snack
food, etc. together and await a possible signal to go
to the Clubhouse if an
Evacuation is necessary. It may not be
necessary so
DO NOT GO UNTIL AN EVACUATION IS CALLED.
Once you hear the news to EVACUATE you should listen
for the "special horns" alert
on your street, and then
proceed to the Clubhouse for Registration Check-In and Shelter.
OTHER NEWS:
New people are moving into the Village at
a rapid pace so it would be a nice and neighborly thing to
Let them know about the SHELTER and get
them to attend Saturday morning Koffee Klutch to keep informed.
