Team Captain's Timeline
3 - 6 Months Before Relay
- Attend Team Captain Meetings to receive traning, information, and materials.
- Recruit nine or more others to be on your team; recruit one member to be Co-Captain.
- Hold a team meeting; distribute donation envelopes, and survivor and luminary forms; set a minimum fundraising goal of $150 per team member.
- Decide on a team name, theme, costumes, and decorations needed for campsite.
- Turn in a Team Registration Fee and Team Registration Form (including names and addresses) as soon as possible.
Campsite selection for your event may be based on the order in which these are turned in.
- Participate in team fundraising activities.
- Review RELAY FOR LIFE rules with team members.
2 - 3 Months Before Relay
- Make sure all participants' names, addresses, T-shirt sizes, and waivers have been turned in.
- Attend Team Captain Meetings or send a representative in your place.
- Continue team fundraising.
- Plan for supplies needed for overnight stay at campsite.
The Month Before Relay
- Collect donation envelopes from team members, making sure information on envelope is accurately and
completely filled out (according to specifications shown on envelope.)
- Verify the amount of money in each envelope.
- Attend any scheduled Bank Night to turn money in.
- Attend any Team Captain Meetings to receive your team's T-shirts.
The Weeek of Relay
- Verify that all waivers have been signed and submitted for team members.
- Meet with your team to distribute T-shirts, discuss food and camping checklist, and prepare walking
schedule for event. Review (again) RELAY FOR LIFE rules with team members.
Day of Relay
- Register your team and turn in any last-minute money.
- Help set up and decorate your campsite.
- Hold a team meeting at the campsite to review walking schedule, activities schedule, etc.
- Complete evaluatin forms and turn in incentive forms.
After the Relay
- Pick up incentive prizes.
- Hold team meetings to thank members and distribute incentive prizes.
- Thank sponsors for donations.
- Start planning, recruiting, and fundraising for next year's event.
- Join the RELAY FOR LIFE Committe to help plan next year's event.
