Tips and Shortcuts













The following step by step directions will assist you as you practice the new skills you learned during the training session. I have included the Help Menu process as it may be a valuable resource now and in the future.

 Help:

  1. Click Help
  2. Click Microsoft Word Help
  3. Type the word(s) you want to find as directed by Office Assistant
  4. Click Search

Selecting Text:

To select:

A word                                    Left-click two times

A paragraph                            Left-click three times

To end of line                          Press Shift + End

One letter at a time                 Shift + Right Arrow or Left Arrow

One line                                   Left-click in left margin

One paragraph                         Left-click twice in left margin

Entire document                     Left-click three times in left margin or click edit menu then Select All

Saving Your Document:

  1. Click File
  2. Click Save
  3. Type in a name under File name
  4. Click Save

Closing a Document:

  1. Click File
  2. Click Close
  3. Microsoft Word asks if you want to save changes
  4. Click Yes to save or No to discard the changes

Exiting Word:

  1. Click File
  2. Click Exit
  3. Microsoft Word asks you if you want to save changes
  4. Click Yes to save or No to discard the changes

Opening a File:

  1. Click File
  2. Click Open
  3. Select File you wish to open
  4. Click Open

Copy:

  1. Select the word you wish to copy by dragging your cursor over the text
  2. Click Edit
  3. Click Copy
  4. Place your cursor where you want the copy inserted
  5. Click Paste

Paste:

  1. To put an item or words into your document that you have cut or copied, place your cursor where you want the copy inserted
  2. Click Edit
  3. Click Paste

Changing Font Size:

  1. Click Format
  2. Click Font
  3. Click Font tab
  4. Scroll through Size box
  5. Preview sample of font at bottom of dialog box
  6. Click OK

Changing Fonts:

  1. Click Format
  2. Click Font
  3. Click Font tab
  4. Scroll through fonts in Font box
  5. Preview sample of fonts at bottom of dialog box
  6. Click OK

Cut:

  1. Select the words you wish to remove by dragging your cursor over the text
  2. Click Edit
  3. Click Cut

Line Spacing:

  1. Click Format
  2. Click Paragraph
  3. Click drop arrow on Line spacing in the Spacing dialog box
  4. Select appropriate spacing
  5. Click OK

Alignment:

  1. Click Format
  2. Click Paragraph
  3. Click Indents and Spacing tab
  4. Click drop arrow on Alignment box
  5. Select Left, Centered, Right, or Justified
  6. Click OK

Undo and Redo:

  1. To remove the last command, click Edit
  2. Click Undo
  3. To redo the action that you just removed, click Edit
  4. Click Redo or Repeat

Changing Font Style:

  1. Click Format
  2. Click Font
  3. Click Font tab
  4. Scroll through Font style box, choose Bold or Italic
  5. Preview sample of font at bottom of dialog box
  6. Click OK

Changing Font Color:

  1. Click Format
  2. Click Font
  3. Click Font tab
  4. Scroll through Font color choices and choose
  5. Click OK

Using Clip Art:

  1. Click Insert
  2. Select Picture
  3. Click Clip Art
  4. Type the name of clip art you want to use
  5. Click on Search button
  6. Double click on your choice

Resizing Images:

  1. Click on image
  2. With mouse, move cursor over handles at corner or side of image
  3. Hold down left mouse button and drag to resize image
  4. Release mouse button

Moving Clip Art

  1.  Click on image
  2. Hold down left mouse button and drag to new location

Bullets:

  1. Click Format
  2. Click Bullets and Numbering
  3. Click Bulleted tab
  4. Select bullet design
  5. Click OK
Numbers:

  1. Click Format
  2. Click Bullets and Numbering
  3. Click Numbered tab
  4. Select number format
  5. Select Customize
  6. Click OK

Viewing Headers and Footers:

  1. Click View
  2. Click Header and Footer
  3. Type into the Header or switch to Footer box and type
  4. Click Close

Page Numbers:

  1. Click View
  2. Click Header and Footer
  3. Choose either Header or switch to Footer box
  4. Click on page number button
  5. Click Close

See it Before You Print it:

  1. Click File
  2. Click Print Preview
  3. Click the Printer button to print

Printing:

  1. Click File
  2. Click Print, select correct printer
  3. Click OK

Spell Check:

  1. Click Tools
  2. Click Spelling and Grammar
  3. Microsoft Word will list a word not included in the dictionary
  4. Select Ignore to leave the word as you typed it
  5. To change the word, select a word from the Suggestions list
  6. Click Change
  7. Click Close

Grammar Check:

  1. Click Tools
  2. Click Spelling and Grammar
  3. Microsoft Word will show grammar problems
  4. To correct grammar, select a Suggestion from the box
  5. The Office Assistant will explain the problem
  6. Click Change
  7. Readability statistics will appear
  8. Click OK
