Grad Night 5/23/02 Meeting Minutes

Meeting held at 6:30 pm in the Media Center.

Tickets
-
Kathy Allyn is organizing the ticket sales. Marlene is helping.
-
They sold 37 tickets to date, 6 yesterday, 4 on Monday. We technically
need to sell a minimum of 200 tickets by May 30.
We have a ways to go. Also, the complete list of students and chaperones
needs to be at Camelot Park by May 30, but last year it was late, and they
didn't complain.

Last year, a few people went to Melanie's house to buy tickets. They sold
a lot a graduation rehearsal, and about 20 at the luau. We won't be selling
any at graduation rehearsal this year, but we will sell at the luau.

The ticket sales will be on Tuesdays and Wednesdays, May 28 and 29 and
June 4 and 5.

Kathy has been telling the students to be at the school by 10:00. They
probably need to start arriving at 9:30.

If students have a "scholarship," they will get a paper saying so. Mary
Jennison with AIM in the office is handling scholarships.

NOTE: the budget
projection assumes that we can afford 33 full scholarships, if we sell
200 tickets at the full price, assuming a carry-over to 2003 of
$3500.

Ron wrote a new instruction sheet that
will be handed out to the students when they buy their tickets. (Note,
the HTML version of the instruction sheet takes 2 pages when printed. I
have a .doc file that only takes 1 page.)

Publicity
-
Mary Kay Tocce is handling publicity.

We need more posters. They should be posted in every senior English teacher's
classroom by the door on the inside. They should also be posted on the
kiosk.

May Kay will give posters to her son, who is ASB president, to put up.

We need announcements for ticket sales on the daily bulletin and the principal's
message to parents. (See below.)

Food
-
Mary Ellen Kuykendall is handling food donations.
-
Joanmarie Woertink is going to contact DiPuccio's to ask for a food donation.
-
The sodas will be kept in the gym. We need to ask Mr. Heller to make sure
the gym is unlocked so we can get to them.

Kathy can pickup at Aki's Bakery.
-
Sue Suttle can pick up food at CoCo's.
-
Lorne Silva and Judy Frazier signed up as Grad Night volunteers at the
last PTSA meeting. Judy signed up for food running.

People who are volunteering for chaperoning and bus loading may be able
to pick up food before they get to the school.
-
Terri will be going to Costco to pick up food and whatever else is needed.
We need to give her a list.

Terri will also be getting eggrolls. She needs to know how many we need.

We need to put together a pick-up schedule.

Bus Loading
-
Lore Osaki-Horii is handling bus loading. She needs helpers to help check
in the students. 8 people are needed.

She needs tables and chairs. We have enough lanterns and flashlights.

Terri and Jan Theiss-Guffey said they could help. Julie Plott said she
could help.

Sue Suttle said she could help. Her daughter Claire may be able to help.

Chaperones
-
Kathy is handling chaperones. Camelot Park requires 3 chaperones per 100
people. We will need at least 6 chaperones.

Helen Chapman, Georgia Shaft, and Lorraine Campbell said they could help.

Joanmarie said she would not be able to chaperone.

Sandy Saadi may be able to help.

Amanda Bush chaperoned for the last 3 years. Last year, Carlos (Aguinaga?),
Adrian (Phillips?), and Kelly (Casaga?) helped out.

The chaperones need to be at bus loading before 10:30.
Note: I sent the following note to Mr. Heller on Friday, 5/24:
Dear Mr. Heller,
Could you please put this announcement in the daily bulletin starting
next week and repeating it until June 7:
Tickets for the Lincoln Grad Night Party will be on sale at lunch
in the
Quad on Tuesdays and Wednesdays, May 28 and 29 and June 4 and 5,
for
$60. The last chance to buy tickets will be at the Senior Luau on
Friday
June 7.
I sent the following note to Mrs. Gernreich on Friday, 5/24:
Dear Mrs. Gernreich,
Can you put this announcement in your next phone call to parents:
"The Lincoln Grad Night Party is rapidly approaching. Tickets will
be on
sale at lunch in the Quad on Tuesdays and Wednesdays, May 28 and
29 and
June 4 and 5, for $60, the same price as last year. The last chance
to
buy tickets will be at the Senior Luau on Friday June 7. Grad Night
has
been a Lincoln tradition, with about 3/4 of the senior class attending.
Its purpose is to provide seniors with a safe and fun way to celebrate
their graduation with their classmates. We hope you encourage and
help
your senior student to attend this celebration. For more information,
see the Lincoln Website under Parent Organizations or call the school."
Does this look OK? I hope it's not too long. Is the message translated
into Spanish and Vietnamese?
