Minutes of Fall Meeting, November 5, 2005, 10:10am-12:55pm
Purdue University Black Cultural Center Library, West Lafayette, Indiana

Present: Dorothy Washington, (Purdue University), Valentine Muyumba, president and presiding (Indiana State University), Jos Holman (Tippecanoe County Public Library), DeLoice Holiday (Indiana University-Bloomington), Grace Jackson-Brown (Indiana University-Bloomington), Michele Fenton (Indiana State Library).

  1. Approval of Minutes, April 23, 2005 Spring Membership Meeting
    • Grace Jackson-Brown made a motion to approve minutes. Michele Fenton seconded the motion, and the motion carried.
  2. Treasurer's Report
    • Since April 2005, Treasurer Jos Holman deposited three membership renewal payments and one new membership payment. He also updated the expense and revenue form used to track IBLN's financial information.
    • No official expenses for IBLN nor were any checks written from checking account. Jos reduced the projected expenses on some things because he felt we shouldn't spend more than we bring in.
    • Current checking account balance is $425.00. Should have name of current IBLN president on the bank account in addition to his name and Grace's. This would make the current president the co-signer on any checks written.
    • Several members suggested sending renewal notices through postal mail to encourage members to pay dues even if they can't attend meetings. Also considered including meeting minutes and treasurer's report with the renewal notices to keep members informed of what is going on. Send out alerts regarding the arrival of renewal notices through the listserve.
  3. Old Business
    1. Membership
      • Grace recommended moving meeting locations further north to allow more members to participate. Valentine said that Rene Greenleaf (Hammond Public Library) would like to host a meeting for IBLN.
      • Jos and Valentine proposed that we make announcements regarding the spring meeting in early January/February. This would allow more time to secure a meeting place. Dorothy recommended that our meeting format could consist of one hour for business and one hour for a program (speakers, presentations, etc.)
      • Sending flyers to libraries regarding IBLN meetings, offering institutional membership, and extending membership to non-African Americans were discussed as ways of getting more people involved in IBLN.
  4. New Business
    1. Vice-President/President Elect
      • Rinata Davis resigned as Vice-President/President Elect this summer. Since there is no provision regarding the absence of a vice-president, Grace said that Valentine (President) can appoint someone to be the interim vice-president. The interim's term will be for seven months.
      • Several people were suggested to serve as interim vice-president: DeLoice Holiday (Indiana University), Lynn Scott (Calumet College of St. Joseph), Marcia Smith-Woodard (Indiana State Library), Rene Greenleaf (Hammond Public Library) and Samuel Custard or someone from his library (Gary Public Library).
      • Jos said we should make a distinction between someone who is interim vice-president/president elect and someone who is interim vice-president/president elect who will be elected vice-president/president elect.
  5. Reports from Subcommittees
    1. IBLN Website
      • The IBLN website has been launched. The address is http://geocities.com/indiana_bln/index.html Website has information from 2003-present and the IBLN logo.
      • DeLoice tried to get website hosted by Indiana University but was told that IBLN membership had to be 50% IU students, faculty, or staff in order to do that. She setup site under Yahoo account which has a $10 start-up fee and $4.95/month fee to host the site.
      • Dorothy Washington suggested adding the article in the Indianapolis Woman on Wilma Gibbs (Indiana Historical Society) and the article submitted by Dorothy to BCALA about IBLN to the website. She emphasized that the BCALA article provides a historical record of the organizational meeting and the persons who were in attendance. She stressed the importance of getting copyright information. She also suggested that IBLN allocate some of its expenses to the website.
      • Jos said that he could talk to his technical staff and see if maybe his library (Tippecanoe County Public Library) can host the site depending on how much space the website uses. He also suggested that IBLN look into being an affiliate of BCALA and maybe they could host our site.
      • Valentine talked about having the IBLN website as a link on ILF's website. Grace said that we could also link to BCALA's site and BCALA link to our site.
      • Michele brought copy of outline she and Rinata Davis worked on this summer and submitted to DeLoice for building the website.
    2. Diversity Update from ALA
      • Handbook hasn't been updated since 1985. ALA wants to update handbook's language.
  6. Other Announcements
    • Dorothy invited members to see Rosa Parks exhibit that included her obituary in the BCC Library.
  7. Adjournment
    • Meeting adjourned at 12:55pm.
