Minutes from the Board Meeting

Triness Kuhn gave the report in Barbara Jacob�s absence.  Barbara told Triness that there is a $200.00 discrepancy in the check book balance.  Triness offered to help Barbara find the problem.  Because of the amount, Triness feels it might be escrow deposits from ARMA International that have not been accounted for. Barbara sent 2 checks with Danielle Honor.  One was used to pay Charlie G�s for the meal.  The second check was given to Julia Vercher to pay for flowers to wish Charles Nolan well and show appreciation to Sharon Hembree for her hard work on the GNO-ARMA Cookbook.

New Business:
� Melanie Gonzales will take over sending out the meeting announcements because she handles registration. 
� Rob announced that we will need someone to take over the newsletter.  The Board discussed that possibility of putting all notices on the web page and asking everyone to go there to get updates about GNO-ARMA happenings.
� The Board has decided to begin documenting chapter activities in order to build a submission for the Chapter of the Year award.  In order to do this the Board discussed purchasing a digital camera.  Committee members are needed.
� During the ARMA International Conference GNO-ARMA purchased a walking cane for $65.00 for one of the conference attendees.  ARMA International will reimburse the chapter for this expenditure.  Julia Vercher will donate the cane to a local charity.
� Julia Vercher said that the chapter earned approximately $1,700 from cookbook sales at the ARMA International Conference.
� Rob Perry advised that there would be a charge of $9.00 per month to keep advertisements from popping up on the chapter web page.  The Board approved the expenditure.
� Rob Perry brought up the fact that by having the new officer election in May, the installation in June, there wasn�t much time for the new officers to prepare for the Leadership Conference in July.  The suggestion was made to move the election back to April.  This would require a change in the by-laws.  (April is usually the month of the Spring Seminar.)  The Board will discuss this change at a later meeting.
� A suggestion was made to have a few meetings changed from evening to midday.  It was felt that this would accommodate some members who cannot make meetings after work.  The Board suggested changing the November and February meetings.

Membership: Rob announced that Mary Bormholt is a new member. 
Chapter 99: Rob identified 4 possible new members that were on the ARMA International �99 List�.  He sent them letters inviting them to join GNO-ARMA and offered them a one-year free chapter membership. 
Memberfest: is a program through ARMA Intl. that allows our chapter to get one free membership for every 5 new members we get this year.  To qualify the new members must use the Memberfest registration form to get credit for our chapter.  This offer runs through June 2003.  Individuals can also win prizes.
Program: Because we used the topic for the February meeting, we will need to get a new speaker for that month.  Rob asked the Board for topic suggestions.  Julia Vercher suggested  �Electronic Retention�.  Triness Kuhn suggested �Digital Archiving�.  Triness said she could probably get someone from Iron Mountain to make the presentation.
Spring Seminar: Rob Perry and Gaylane Bonck will be visiting Delgado to look at accommodations for the Spring Seminar in April.  We will need to get a room with computers.
Old Business:
As discussed at the last meeting, the Board once again voted to keep the cost of the monthly meetings at $30.00.
