RESULTS FROM THE
AUGUST 29, 2004 MEETING
Harvest sale
SO the youth will be running concession basically. We are planning to have a cooking bee the friday before the harvest sale (sept 10) in the evening. It has been decided that we will sell breadsticks*, hot dogs, pop, cookies and soup... (to advertise the cookie mix and soup mix jars). Eric has also proposed to sell prints of art work and if we can come up with other things to sell. The money from the concession will be split 50-50 between the youth group and the church(after cost deductions). Whatever else we do will go directly to us i.e. art prints will solely go to us.
Thus far we have a pretty lame sign up sheet, although I must admit it looks better than it did last year. If we want to do shifts then it will go
first shift 9:00 am - noon (includes set-up)
second 10:30 am - 1:30 pm (overlap)
and last noon - 3:00 pm (including clean up)

Treasurer/ Treasury
Eric talked about having an apprentice so he could teach them how to run the money situation before the grade 12s leave next year. SO far the only person who has been interested is Doug and unless he has somehting to say about it I don't think it was 100% I want to do this so we need to hear some more from the jrs about apprenticing.
Also on this topic is how we want to keep the records and money. Eric suggested a safe or a locked box would be easier access for us than the office, but I think that idea got shunned and we might just stick with the office. Also Eric proposed a new way of keeping records. instead of the little book that no one knows about we could just have a huge piece of paper and if some one brought in or took out money all they had to do was write down the amount and what it was for or from then there would be no issues with lost paper or bad record keeping.
We also decided that having a bank account would not be very helpful because there are fees and only certain people can access it and banks aren't open on sundays. Many unhelpful things, so we just said no.
Money
There wasn't much talk about this at the meeting although through the years there has been lots of ideas for trying to bring in more revenue for the youth group. There are many ideas such as adding entrance fees to things(which got a final no) and other events for findraising such as selling art and maybe things like a car wash or fashion show. We also figured out that the bottles is still a good way to bring in money with minimal time and work involved The only problem was that no one knew when it was their turn, so genius idea has sprouted and that is when we do get every one to sign up for a month during the year (sept 12 that will be happening) we will type up the list or photo copy it so that every one has a copy and can put it up in their house so they know when it is their turn.
Registration
This was not actually done at the meeting for those of you who wer ewondering we just wanted to talk about some things regarding it. i.e. fees at the beginning of the year that are not happening. We also talked about have a phone tree and that did go through. SO there will be a phone list going out with all the other paper work you will be getting with two different phone trees. one for the sr group and one for the jr group. SO the sr.s will phone the sr.s and the jr.s will phone the jr.s and Rondy will phone every body because she likes to feel connected and make sure every one got the message through. we also decided that on the phone list we should have every ones email (if they have one) we also talked about having addresses but for some reason that didn't go through.
Also if you have not already handed in a form for legal issues and field trips with your parent's signature then you will need to do that before long (probably sept 12) and if you dont you will not be able to go on any trip out side the church area. i.e. the water park or fun stuff like that.
