Dark Light LRP - Constitution

1 Name

The Unincorporated Association shall be called Dark Light LRP hereinafter referred to as �The Society�


2 Objects

The objects of The Society are to promote and further the hobby of Live-Roleplay through the operation of a Live-Roleplay Society and provision of Live-Roleplay games to its members


3 Membership


� Membership of the Society shall be open to any person completing a membership application form and paying the relevant subscription/joining fee as determined by the Organisers
� Anyone may apply to become a member regardless of race, gender, ethnicity, sexual preference or religion.
� No-one under the age of 16 may apply to be a member of the Society
� The Organisers reserve the right to refuse membership applications.
� The Organisers reserve the right to revoke membership at any time.
� If membership is revoked partway through an event, the ex-member may be instructed to leave the site immediately.
� If membership is refused or revoked the Organisers reserve the right to withhold an explanation.
� Membership will not be refused or revoked on any unjust grounds - i.e. gender, race, etc.
� Membership will be revoked if members act illegally or break the rules of the Society.
� Membership fees which are revoked may be refunded on a pro-rata basis at the discretion of The Owner


4 Officers

� The �Owner� is Simon Tresadern.
� The �Organisers� are the �Owner� and whomsoever the �Owner� shall name as an �Organiser�


5 Records

Shall be kept by the Organisers and made available for inspection by any member of the Society if so required. These records will include minutes of any meetings, minutes of the AGM, and the Annual Report.
Current membership lists shall be maintained, including details of membership fees paid.
The Society will hold your personal details, which you have provided to us on computer. We will handle all your data in accordance with the principles of the Data Protection Act and will not pass it to any other party without you prior and express permission.
The Society is exempt under the guidelines of the Information Commissioners Office from notification


6 Government


� The Society shall be governed by The �Organisers�
�  The �Owner� has in all matters the final decision and right to agree and / or veto any and all decisions regarding the Society and its organisation and existence. The Owner�s decision is final in the event of dispute.
� The Society is a non-profit making organisation, and neither the Owner nor the Organisers shall receive money or payment for their services.
� The Society has no employees
� The Organisers shall meet at agreed intervals and not less than four times per year. 
The duties of The Organisers shall be:-

To control the affairs of the Society on behalf of the Members.

To keep accurate accounts of the finances of the Society. These should be available for reasonable inspection by Members and should be examined before every Annual General Meeting. The Club shall maintain a bank current account and the Owner and nominated Organisers shall be authorised to sign Society cheques:

To co-opt additional Members of the Society as the Organisers feels this is necessary.


7 Vacation of office

Any Organiser shall vacate his or her office upon resignation or upon dismissal from her office by the Owner


8 Annual General Meeting

This meeting shall be held in the final four weeks of each year. Not less than fourteen clear days notice of the AGM shall be given by being displayed in a manner appropriate to the members. Attendees of are restricted to fully paid members of the Society


9 General Meetings


These shall be called at the discretion of the Organisers or at the written request of not less than 2/3rds of the members of the Society. Notice of not less than 10 clear days, excluding weekends and bank holidays shall be given. Attendees of General Meetings are not restricted


10 Right of Appeal

Any member may have the right to appeal against a decision made by an Organiser. In the event of any dispute the decision of the Owner is final


11 Amendment of the Constitution

A motion may be brought for this constitution to be amended or altered by members present at a general meeting, or Annual General Meeting. The motion will be reviewed by the Organisers and decision reported to the members with than 10 clear days, excluding weekends and bank holidays. In the event of any dispute the decision of the Owner is final


This constitution shall be made available to all members of the society on request.
