SCHEDULE OF EVENTS
Friday, August 7th
A relaxed night for those able to make or are traveling a long ways.
We'll do a fire in the hearth out back.  If you can come only for one day, I'd recommend Saturday,
but if you're bable to do Friday night, too, it's worth getting here for.

Saturday, August 8th
The Big Event.  An all-day long picnic and gabfest.
We will plan the big meal and some sort of short and cool ritual for the late afternoon.
If you can only get away from your family one day, I'd make it this day.  I'm trying to get all the sisters here on Saturday afternoon, at the very least.  This will be the time for family tree pictures, other group pictures, etc.
We'l have a fire in the hearth again in the evening.

Sunday, August 9th
Nothing specific planned.  Most people will be heading home.
                                                ACCOMMODATIONS
  My house:
My house can hold a lot of sisters, with sleeping bags, for staying overnight (Think:  Camping Trip).  I also have some room for tents.  I will HOPEFULLY have two showers and four toilets available for the weekend.  We do NOT have air conditioning.  We do not have carpeting and rugs - only hardwood floors.  We have a big, friendly (and old) dog who does, unfortunately, shed a lot.  We have three guest rooms (two w/ double beds and one with a set of twins), one cot, two couches in the Great Room, one couch in the den and a couch on the screened porch.

Hotels: CLOSEST HOTEL: Hilton Garden Inn, 815 E. Baltimore Pike, Kennett Square, PA 19348
                  610-444-9100
http://www.hiltongardeninn.com/en/gi/hotels/index.jhtml?ctyhocn=PHLKSGI
Best available rate as of 5/27/09:  $149/night/double or $119/night/double if reserved and paid for in
                       advance with no refund option.
Notes:  5 miles away (about 10 min.) and close to bunches of stuff.  I'd reserve right away - this is the
                      closest hotel to Longwood Gardens.

                 OTHER:
Brandywine River Hotel, Rts 1 & 100, 1609 Baltimore Pk, Chadds Ford, PA 19317
Best Available rate as of 5/27/09:  $139/night/double.
Notes:  9.3 miles away (about 17 min.).  This is slightly cheaper than the Hilton, but 3x the distance.
I'd also reserve this one right away - it's the closest to the Brandywine Museum and Battlefield.

Bed and Breakfasts: IF THERE ARE ENOUGH SISTERS (7), I can call one of these B&Bs and see if I can work a deal for the rooms.  Let me know ASAP.  I don't know if it'll work, but it's worth a shot.  Remember - these come with breakfast!!

Bancroft Manor B&B, 318 Marshall St.,  Kennett Square, PA 19348
               610-470-4207
http://bancroftmanor.com
Best available rate as of 5/27/09: $150/night (sleeps 2).  The Brantwyn Room (@$160/night)
can hold 3 with a cot.
Notes:  2.4 miles (about 6 minutes).

Stebbins-Swayne House B&B, 221 S. Union St., Kennett Square, PA 19348
              610-444-9097
http://sshbandb.com
Best available rate as of 5/27/09: $150/night (sleeps 2).  One room can sleep 3.
Notes:  2.2 miles (about 5 minutes).  In the heart of downtown Kennett Square.

Notes on B&Bs in general: There are MANY, MANY other B&Bs around here, but these are the two closest with availability.  You can look here for other close B&Bs.  Most B&Bs fill-up quickly on the weekends because of the tourism, so reserve them right away, too.

A BIG Thanks to Kristina Cortes Allen (Alpha Tau class) for researching the local hotels!!

Very local sisters:  If you live locally and are willing to throw a few sisters in your own home for a night or two, email me.  A few already have full houses!!  Thanks ladies!!!
                                         FOOD, DRINKS AND DRINKING
  Food:
There will be a pot-luck sign up sheet.  We will need entrees (that don't need my kitchen), salads, sides, snacks and all that for breakfasts, lunches and dinners for Friday night to Sunday morning.  If you have something in particular you would like to bring, just let me know.   If I already have it and don't need more, I'll let you know.  What people are bringing will be listed on the list-serve and on the Facebook group.  I will try to keep an updated  list on the website, too.

Ideally, I'd like everybody to bring their own eating supplies (part of our plan to stay somewhat green), but realize that isn't very realistic.  Part of the sign-ups will also be for paper supplies and utensils.

As an FYI - because the house is old, the kitchen is small and cramped.  As a general rule, the kitchen is off limits.  I would prefer that you bring something that does not need to be heated or cooked in my oven.  My suggestion for entrees would be hotdogs done at home that can be kept heated in slow cookers and things like that.  I also have no refrigerator space (again - small kitchen, small refrigerator), so bring refrigeratable dishes in an appropriate and well-marked cooler.  I'm sorry about that, but old houses have limiting kitchens.

Drinks:  This is a BYOB event.  Bring your favorite drink for the weekend.  You may either bring something to stock a common bar (a bartender is on hand for the weekend) or to throw into a help-yourself cooler (beer, soda, water, Gatorade, etc.) or you can just bring your own (in a well-marked cooler or bottle if left with the bartender) and not share.  Whatever you're comfortable with.  One sister already said she's bringing a case of beer for the help-yourself cooler and I will include help-yourselves in the sign-up sheet.

I would ask that you bring your own reusable water bottle, as we are trying to stay as green as possible by not buying bottled water.  We have filtered water in the bar and the bartender will be happy to fill your bottle for you as often as you'd like.

Drinking:  We will be taking carkeys and being assholes about it.  This is even if you plan on staying the night.   When you bring your food, just expect to give us your keys at the same time.  Tim will be available to drive you back to a hotel if you want, or you can just spend the night.  We are just really touchy about drunk driving, especially when it won't be necessary to do it.  If you decide to be a designated driver, we may note that on your name tag so that other sisters know you can drive them to the hotel,  if needed.

As much as I hate to have to say this (and more as a CYA, because I figure you all know this anyhow) - the under 21 sisters are simply not allowed to drink.  No exceptions.  Please, please respect this.  Don't give drinks to sisters under 21 and if you're under 21, please don't ask for one.  I don't need to spell out the consequences Tim and I could face if there is underage drinking here.  If you're under 21, show up sober (because we can get in trouble even if you show up drunk and don't get served here), stay sober and leave sober.

There are many, many sisters who don't drink for various reasons, so don't think you'll be singled out if you don't drink.  This isn't a drink-fest.  While there will be people with drinks, it is - overall - a reunion.  Also as a CYA and reminder - there will be a sign at the bar.
                                                    MISCELLANEOUS
  Smoking:
Smoking is allowed only by the back hearth or in and beyond the front yard.  I prefer the back hearth only because you can put your butts in the hearth itself.  There is no smoking on the screened porch.

Chairs: You're DEFINITELY going to need to bring one.  I just won't  have enough for everybody either for outside or inside.  Since we do have hardwood floors, be slightly careful with them inside.

In The Event of Rain: My personal party-curse is rain.  Count on it.  While I can easily and fairly comfortably fit 100+ people in the house with the doors closed, we are planning on having more than that attend.  If you  have the canopies/tarps that are easy to set up and you are able to bring, please do so.  It will  help ease the in-house burden.

Music: We have tons of CDs.   Please, however, bring your own CDs to add to the variety.  Just make sure they are WELL MARKED so that they go back home with you.  I will put them into the grand shuffle of songs.  We will not be taking song requests, but when appropriate, Tim will DJ.  He's good at that.

Memorabilia:   Don't forget to start looking for your scrapbooks, photo albuyms, t-shirts, composites, pledge books, glassware and any other Alpha Rho memorabilia you can think of to bring along.  There will be tables set up to display almost 30 years of memories.  Don't forget to mark your  memorabilia with your name, too.  I want to make sure you all go home with what you came with!

Non-Sisters: The ONLY people who will be here that are not Alpha Rho sisters is my immediate family.  Tim is our bartender, DJ, handyman and general  Party-Guy-Friday for the weekend.  He'll be doing as much as he can to make sure I'm not a nervous wreck and can try to enjoy myself, too.  He'll also be taking the group shots, so he knows he'll have tons of cameras thrown at him.  Many of the older sisters knew Tim well in college and many of you younger ones have met him at homecoming.   While I'm saying that the kids will also be here, I seriously doubt it.  I bet they escape to friends' houses.  :)
CHECKLIST OF THINGS TO BRING
This link should take you to a printable Excel spreadsheet for things to bring.
If you don't have Excel or it doesn't open, email me and I'll send you the list.
It was just easier to do it this way then try to list it all out here.
