PTSA Meeting 6/11/03
- Meeting held at Sue Suttle's house.
- Attendees: Joe Silveria, Carol Silveria, Ronald Horii, Chris Funk,
Karen Jolly, Chris Heller, Phil Roark, Sue Suttle, Autumn Guitierrez, Jan
Finger, Judy Frazier, Mauren Wincor, Steve Wincor, Joe Mason, Kathy Vita
- Meeting began at 6:50 pm.
- We reviewed last month's meeting minutes. Amendments: added checks:
$400 for Pizza My Heart for Grad Night pizzas, $728.25 for Grad Night keychains,
$500 for the Grad Night hypnotist, up to $700 for Jalisco's for the staff
appreciation luncheon, $300 each for 3 scholarships, $40 for the council
luncheon. Jan Finger moved to approve the minutes as amended. Motion passed.
- Election of officers. The following slate of officers was presented.
Chris Funk moved to approve the slate. Motion passed:
- President: Annette Mikkelsen
- Vice President: Jan Finger
- Secretary: Constance Carpenter
- Treasurer: Karen Jolly
- Auditor: Marlene Snell
- Treasurer's Report - Karen Jolly
- Checks to be approved: $42.57 to Karen Jolly for Xerox copies, $100
pre-approved for the staff luncheon, $120 pre-approved for the staff thank
you's, $24.04 for student of the month to Karen Jolly, $200 pre-approved
for Grad Night expenses, $8000 for the balance of the Grad Night contract.
- Karen Jolly moved to approve the outstanding checks. Motion passed.
- PTSA membership:
- We have sent out the proposed revised by-laws to the state PTSA for
approval. They are not back yet. One of the changes is to increase the PTSA
fees to $15 from $10. Sue Suttle moved to increase the membership fee to $15.
Motion passed.
- Annette Mikkelsen suggested putting a place on the PTSA membership
form for E-mail. We can use E-mail next year to contact members.
- Grad Night - Sue Suttle
- Ticket sales were 62 as of today. We need to sell 40 more to break
even, using up all the reserves in the Grad Night budget. The contract calls
for us to pay for 200 tickets, whether 200 go or not. Sue talked to Judy
at Boomers. They will reduce the number of buses, but not reduce the cost
if less than 200 go. There are 320 students graduating. We will go to Grad
Night no matter how many tickets are sold.
- We already paid $5000 to Boomers for the deposit, which is non-refundable.
The contract with the hypnotist is also non-refundable. We owe $8000 to Boomers.
If we write a check for that now, PTSA will still have $3000 left in the bank.
- Jan made more than $2000 in eggroll sales.
- Sue ordered and received 225 keychains. If we don't need all of
them, we can try selling the extras to raise funds.
- We have a donation of $400 for 40 pizzas. We can reduce that number
of pizzas if less than 200 go.
- Cary Catching has 200 copies of the Grad Night guidelines to pass
out at graduation rehearsal.
- Marla and Autumn will be selling tickets at the Senior Luau. They
need someone to help for 1 hour between 4 and 5.
- Connie Shelby said that the Lincoln Plus students know about Grad
Night.
- We will not sell tickets at rehearsal. We will sell tickets on Monday
night during bus loading.
- We have 7 chaperones, 2 of them are teachers. We need a minimum of
6 if we have 200 students, so we have enough.
- Lore Osaki-Horii is handling bus-loading. She will be in front of
the gym on Grad Night at 8:30. Bus-loading starts at 9:30. The buses leave
at 10:30.
- Sodas are in the gym. The night custodian will bring them out.
- We will need to buy water, cream cheese, paper products, fruit, and
vegetables.
- The AP luncheon next year has been booked and will benefit Grad Night.
- PTSA will get money from the school-wide fundraiser next year.
- Maureen Wincor moved to adjourn. Meeting adjourned at 7:35 pm.
