Grad Night Meeting 10/16/02

This Saturday is the AP luncheon. Volunteers to help out at the AP luncheon
should get there by 7:00. Lincoln has hosted it for 4 years. The money
has usually gone to Grad Night. Last year, Jan Finger did it for PTSA.
We charge $20 per person. There will be 120 attendees, plus speakers, college
board staff, and our staff. We spend about $500. Any income above that
is profit. We expect to make $2000-$3000.

Jan and Terri will handle eggrolls.

Sue spoke to Judy at Camelot Park. She is taking over for Patrick Johnson,
who left. Judy will be mailing the contract.

Camelot Park is charging $65 person, with a minimum attendance of 200.

We have a senior class size of about 350 this year.

The balance is due on 5/30.

There is about $3K in the budget for Grad Night.

One of the parents agreed to write to the Lincoln Foundation for funding
this year.

We should invite the teachers and chaperones from last year's party to
tell how it went.

Some senior students got together and talked about Grad Night. They wanted
to go on a cruise on SF Bay. However, the PTSA voted and approved Camelot
Park already. To change it would require another vote at next month's meeting,
which would delay the start of Grad Night planning even further.

We started going to Grad Night at Camelot Park in 1997. In 2000, we tried
a different venue. We went to City Beach in Santa Clara. However, we received
complaints from seniors who were disappointed that they did not get to
go to Camelot Park. So, for the last 2 years, we have been going to Camelot
Park again.

One of the students talked to some seniors who went to last year's Grad
Night. They said they ran out of things to do.

Camelot Park provides entertainment, but we can add supplemental entertainment
activities. (We would need someone to coordinate that.)

One of the things that worked well at City Beach was organized games that
got all the students involved and cheering for their teams. We can do similar
things (on a smaller scale) at Camelot Park.

Students and parents talked about going to visit Camelot Park to see what
it is like and to get a better idea of what can be done there.

We should talk to students and parents from other schools and ask them
what they do for their grad night. We may be able to use their ideas.

Last year's Grad Night turned out OK, but it was very hectic at the end.
The biggest problem was that students waited until the last minute to buy
tickets, while the total balance was due to Camelot Park at the end of
May. We need to start ticket sales earlier this year. We should start in
February. We can provide incentives for early ticket sales: cheaper prices
for early purchases, installment payments, raffles for prizes such as prom
bids, movie passes.

Streetlight Records on Bascom may be willing to donate gift certificates.

We can do graduated pricing, where the early sales are the cheapest, the
middle prices last the longest, and last-minute purchases are the most
expensive.

We need to take surveys from the people who went to last year's Grad Night
about what foods worked the best.

This year's publicity posters need to be bigger. We should get pictures
from last year's Grad Night party.

The Service Art Committee can help with posters. They need 20 days notice.
We can talk to Mrs. Bartell. There are forms in the office for service
art. We need Mr. Roark's permission to put up posters.

Everyone is doing eggroll sales this year. Mock Trial is doing it. They
are doing it early in the year. We need to make sure our eggroll sales
don't overlap with others.

Selling Jamba Juice is too much trouble for the amount of profit.
