Grad Night 6/3/02 Meeting Minutes

Meeting held at 6:30 pm in the Media Center. This will be our last meeting.

Eggrolls - Terri Moffatt

Diane is hleping with eggroll sales.
-
They made $1500 in profits to date. Terri turned in $550 so far.

They won't be selling on June 6.

We'll get eggrolls for Grad Night food. Eggrolls keep 3 hours or longer.
-
The eggroll vendor agreed to donate 50 eggrolls. We decided to buy 100
more at 50 cents each for Grad Night for 150 total at $75. The vendor needs
to know 2 days ahead of time how many to order. They will be vegetarian
eggrolls.

Terri suggested having a debriefing afterwards to help with next year's
sales.

Next year, should another group start earlier with eggroll sales.

Tickets - Kathy Allyn

They sold 99 tickets as of Monday. Out of these, 9 were scholarships. Most
were partial. We collected $180 for these 9, so we are funding $360 as
scholarships.

Ron called Patrick Johnson and told him we might be late sending the final
payment. He said that was OK. However, Kathy sent him the check anyway.
Karen Jolly said we had enough in the bank to cover it.

We need to request wrist bands. It's OK to over-order. Chaperones will
also need bands.

Kathy will call Patrick Johnson on Friday with the total count and projected
extras. Note: We don't know how much lead-time he needs to order
the buses. He may need to know sooner.

Note: Ron and Lore will tally up the names on Saturday for bus-loading
and to give to Camelot Park.

May Kay made posters and gave them to her son, who is ASB president, to
put up. He said that he saw students pulling some of them down, and Mrs.
Gernreich pulled one down. See poster

Ron Horii made posters with photos from Camelot Park so the students could
see what the park looks like, got Mr. Heller to initial them, then posted
them where students could see them, putting tape all around to make them
harder to remove. Here is an example.

Mary Kay will make a large poster for ticket sales.

Terri will be going to Costco. We decided to have her get the following:

ice per ice chest. Arrange for pickup after return.

Judy said that Noah's Bagels (1140 Lincoln Ave. #B) throws out leftover
bagels. She will ask if we can get some.

Terri will talk to Joan Marie about coffee from Starbucks. We prefer to
get pre-brewed coffee.

The chaperones will help setup the food.

Bring sponges and paper towels for cleanup.
-
Pies will require plates and forks and can be messy.
-
Pizza pickup - tell them to cut the pieces small.
-
Una Mas gave us chips and salsa last year. Bring containers for salsa.

Bus Loading - Lore Osaki-Horii is handling bus loading. She needs helpers
to help check in the students. 8 people are needed.
-
She needs tables and chairs. We have enough lanterns and flashlights. Card
tables: Mary Kay, Kathy, Ron, need 1 more.

We could use a couple more people in case the senior parents can't make

Chaperones - Kathy Allyn

Camelot Park requires 3 chaperones per 100 people. We will need at least
6 chaperones (for the 200 student minimum). There must be at least 1 chaperone
in each bus.

Last year we had 247 students who went. We had 8
chaperones and 3 people who went early for food setup.

Mrs. Gernreich announced the need for chaperones to the staff.

Last year, Amanda Bush, Carlos Aguinaga, Adrian Phillips, and Kelly Casaga
helped out. Kathy found out later that Carlos and Adrian would do it, but
Amanda could not. We could use 1 more teacher.

Lore Osaki-Horii said she could help if we go over 200, and they can't
get anyone else.

The chaperones need to be at bus loading around 9:15 pm.
