Grad Night Meeting 4/15/2003

Contract
-
Royal Coach signed the hold harmless agreement. The contract is in Sue's
name. They haven't added the second sheet, which adds the PTSA as the second
insured.

Camelot Park also needs to add the second sheet.

Ticket sales
-
Marla said that they will sell tickets on Thursday.

They will extend discount ($60) ticket sales to May 1-2.

We now have raffle prizes. We can advertize them. We have a prom bid, and
flower and corsage vouchers. We have 5 Jamba Juice certificates in mugs.

We have sold 14 tickets so far.

People have been picking up the ticket application information.

We need to hand out the Grad Night instructions. We can do that with the
ticket sales.

We can sell tickets at graduation rehearsal and the senior luau.

Supplemental Entertainment

The hypnotist that Ron has been in contact with, Arlow Moreland, will do
the show for $500. At the last meeting, we voted and approved hiring him.
Ron has the contract. Two PTSA officers must sign it. Joe Silveria, as
PTSA president, must sign it. Sue or Ron can co-sign it. We need to have
the contract changed to say the hypnotist will provide his own sound equipment.
He needs to sign the hold harmless agreement and send a copy of his insurance.
There needs to be a second sheet attached naming the PTSA as the second
insured. We can use the chairs that are there. We need to bring duct tape.
We can start advertizing that we will have a hypnotist.

Sue talked to the henna artist company. They charge $125/hour/artist. They
recommend 2 artists for 4 hours. We'll hold off on them for now.

Scholarships:

4 scholarships have been requested. Amanda said she has 5 total. We may
get to 20.

Fundraising/donations:
-
Eggrolls are still selling. Jan said she could add another day. There is
no problem getting help.

Publicity
-
We need a big banner at the ticket sales table. The little sign is hard
to see.

Posters are getting torn down. We need more.

The posters don't need to be signed by an administrator, since the Grad
Night Committee, which is a PTSA committee, approved them.

:Posters have been put up by the Career Center, the bulletin board, the
gym, and both ends of the main building.

We need to advertize that we are extending the $60 ticket sale period,
that we will have raffle prizes, and that we're having a hypnotist at Grad
Night.

Keychains: we budgeted for 250. We will buy 225.

Food
-
Judy said a parent made a donation to grad night for food. Pizza My Heart
matched a $400 donation. We will have 40 large pizzas delivered.

Joe Silveria said he could help pick up food.

Costco may provide a donation. We need to ask after May 1.

Chaperones
-
We got another chaperone. We have 3 confirmed. 1 or 2 more are possible.
(We need 6.) We asked Mr. Hicks, but he said he couldn't do it.
