Hints for a better meeting

Before the meeting call speakers to prepare yourself for introductions:

a.  Get background information about the speaker relating to the theme of the meeting.

b.  Get the speech number, tide, and what the speaker may want for evaluation content.

 

Meeting Outline

Thank the president and accept the gavel when you are introduced as Toastmaster.

Warm up the audience. Set the tone for the meeting by making a few remarks about the meeting or some topic of current interest You may want to introduce the theme of the meeting at this time, to be carried throughout the meeting.

Say a few words about the nature of the forthcoming program, including format (for the benefit of guests). Mention evaluation and voting.

Introduce functionaries and ask them to explain their jobs (again for the benefit of guests).

Introduce the Topicmaster as you would a speaker.

Comment on table topics and make a few remarks to add to the continuity of the meeting.  Remind members to vote for who did a better job on their Table Topic and pass to the Topicmaster who will counts the ballots.

Introduce the General Evaluator as you would a speaker.

 

Duties of the Master Evaluator:

a.  Introduce the Evaluators.

b.  Call for the Timer’s report on speeches and evaluations.

c.  Call for Grammarian’s report.

d.  Offer overall evaluation of the meeting.

Call on Topicmaster for award for best table topic speaker.

Call for Wordmaster’s report of the word of the day count.

Introduce the member who will provide the Thought for the Day.

Ask guests if they would like to share any comments about the meeting.

Make summary comments before returning control of the meeting back to the President.
