Youth Ministry Committee, Meeting Minutes

February 13, 2007

Present:  John Cartwright, Marla Cartwright, Nathan Fuhrman, Joel Hays, Brandon Lewis, Susan Pierce, Lisa Rosenberg, Helen Welborn

SHY-C:  Five youth (PJ, Jordan, Brett, Walker, Julya) attended, along with four adult sponsors.  The conference was great, Brandon said, and he was especially glad for the chance to get to know our youth better.  This group established a new name for Senior High Fellowship:  CREW, elements of which are Community, Risk, Experience, and Worship.  Brandon hopes to establish a new name for Middle School Fellowship as well.

SKI TRIP:  One of our YMC members left a “love offering” for the first church in Dumas that welcomed our stranded youth, but we have not yet thanked First Baptist for their hospitality.  Sports Travel, who coordinated the travel arrangements, has agreed to refund $17,000, which will cover all payments made by participants.  Many thanks to Lisa Patterson for extensive negotiations and follow-through.  YMC will not pursue a spring break ski trip this year due to different spring break dates among member’s school districts.

CRUCIFER:  A crucifer sign-up sheet has not yet been posted.  Brandon will work with Jonny Ramsey to recruit crucifers.

TRIENNIUM:  Both Aubri and Walker will be able to attend the Triennium Conference.  Grace Presbytery will be providing bus transportation.  Joel will talk to Lisa to verify that Christian Education is covering the remaining expenses to send these two to the conference.

CHOIR TRIP:  Nathan distributed a proposed letter, schedule, and budget for the Youth Choir Mission Trip & Tennessee Tour in June.  First Pres in Richardson expects to take 25 youth, and Nathan expects Saint Andrew to take 10 youth.  Last year, YMC voted to help with funding for this trip.  At that time, we planned to use vans for transportation, but now a charter bus is proposed, raising the cost.  After discussion of the YMC 2007 budget (see next section), it was agreed that YMC would cover at least $1,000 of the expenses and sponsor at least one fund-raiser, with the intention of further discussion at the regular March meeting.

BUDGET:  It is generally understood that the 2007 budget is funded at the same level as 2006:

Youth Fellowship: $3,500

Youth Conferences: $1,700

Youth Retreats: $2,500

Youth Trips: $3,600

Youth Lunch Ministry: $750

These total $12,050.  Approximately $1,000 was spent for SHY-C.  An additional $3,000-$3,500 remains from the fund-raising done for the Hollywood Mission in 2005.

YOUTH SUNDAY:  Since the LINK retreat is scheduled for April 13-15, Youth Sunday will be rescheduled for April 22.  Lisa will ask parents to provide breakfast between services.  Most of the planning will occur in Senior High Sunday School.  Middle School youth will usher.

SENIOR DINNER:  Nathan will send postcards to parents of seniors asking for photos.  Joel will ask Gary Klingeman if he will prepare the photo presentation again this year.  Juniors and their parents will prepare the food.  Additional planning will be done at future YMC meetings.

WHIRLY BALL:  Brandon will reserve both courts and both church vans for a CREW outing on February 23.  Susan will post a sign-up sheet, and Nathan will send postcards.  Youth will need $10 for game play and pizza.  Approximate departure time will be 6 pm.  A trip for Middle School is proposed for March 9.

PARENT MEETING:  Brandon will conduct a meeting for parents of all SAPC youth after worship on Sunday, February 25, from 12:15 – 1:00 pm.

EXTRA MEETING:  An additional meeting is scheduled for YMC on Tuesday, February 27, at 6 pm at Sweetwater.  We will eat as well as meet.  The next regular meeting will be March 13.
