Subject: Parents Meeting Minutes/Calendar-Sept. 24, 2001

Hello,

As you can see we are going to an email format to readily get out the minutes to everyone. There will also be a copy on the bulletin board, and a few copies at the next meeting for those who do not receive email. I will also send a copy to Robin to see if it can be posted on the web site (we will have to do something about the names though).

1. The meeting was opened with a prayer by Frank M. Marie J conducted the meeting.

2. Attendance Sheet was also passed around-we hope everyone signed in.

Also, passed was a list for Troop Picnic and Camporee Help (see below)

3. There was no Treasurer's Report.

4. Roundtable Report by Marie J.-Plug these dates in with those listed below--

POPCORN DATES--Oct. 8-Turn in Orders

Nov 5-Pick Up Your Popcorn Here At Trinity

Nov 19-Turn in ALL Money

5. Green Bar Report-Elections held and our new SPL is Jon G & ASPL is Ed H.

The Patrol Planning Calendar for October is posted.

6. Old Business-

a. Summer Camp-those who earned badges at camp will receive them from Brian L.

b. Tubing Trip-Thunderstorms sent most all who went home, but those who stayed had a good time.

c. Display at IOW County Fair-good display, but we were in a bad spot. There was very little foot traffic. Also, at the fair, the troops had a Show and Sell for Popcorn, but due to little traffic, it was not successful. Need better location next year.

7. Other Business & Discussions-(Note-I have put this before the calendar/up coming events as there is a lot of notes)

a. Summer Camp PICTURE-Liz M has given the troop a large group picture from summer camp. It is on the bulletin board. She has a negative if anyone would like copies.

b. Class B SHIRTS-Neil C has ordered Class B shirts. They should be arriving in 2 weeks.

c. TRAILER- A motion was passed to go ahead and purchase/order a single axle trailer, with lights, double doors, for a purchase price between $2200-$2800. The church van will be provided with a hitch as well. The insurance will be covered by the church. The church has the option to borrow it, but we will always have first choice.

d. WEB SITE-Thanks go to Robin L for getting this up and running. Not everything is on as yet but will be there soon. Currently there are calendars for scouts and leaders, the most common forms used, links for merit badges, and other scout stuff. Hopefully, the minutes of the meeting will be there soon. If you think of anything that needs to be there please let her know.

e. Brian L & Marie J have started thinking about, & would like us all to think about, prior to a discussion-on charging a $2-$4 fee per campout. This would serve 2 purposes-1.this would serve as making a commitment to going on an outing, so back out would be less which causes problems & 2.this money would be given to leaders who are driving for gas money.

f. Summer Camp next year-discussion & decisions must be made soon. The troop is considering going to 2 separate camps next summer. A High Adventure camp -in the Blue Ridge outside of Roanoke for those boys 14 & older, which is a little more expensive. Tom L has a video which he will show & other information. Money & Reservations will need to be made in December, (I think) and therefore a decision must be made soon. We must also have adults who will commit to this as well. Once a commitment is made, "only death, yours, will release you".

As for the younger campers those who will not be 14, those rising or joining, a decision needs to be made regarding whether to go to Chick or Pipsico or some other camp nearby. The troop is reluctant to send younger campers far away due to homesickness & possible medical problems that may occur. This will also require a commitment of some adults.

g. Note to Scouts-Always after a Board of Review, see John H to report the outcome, so records may be made. Please secure your blue cards in a safe place.

8. CALENDAR-John H gave out calendars for the year and also pages from our web site. Corrections were made. As of last night these are the correct dates and times....

a. SEPT. 28,29,30-SKY ANCHOR-Contact Frank M-The troop will need help transporting to Sky Anchor on Friday night and Sunday morning. Sign ups indicate 26 boys & 3 leaders. This is a service project-we will be keeping track of hours. We will be meeting at 6:00pm Friday night, leaving at 7:00pm. Pick up will be at Little's at noon on Sunday. Please pack warm clothes as the temperatures are suppose to drop and boots for the am due to wet grass. There may be fishing, bring gear. We will be joined by Pack 7 Saturday afternoon-15 Cubs & 15 adults.

-For those not attending Sky Anchor there is another opportunity to get those community service hours which will only involve your Saturday from 9:00am to 4:00pm. Camp Chickahominy is having a Fall Spruce Up. The contact is Adrian-try the camp Chick phone or call the Newport News Office.

b. OCT. 7-Yes, it's a Sunday-TROOP PICNIC at Nike Park-Contact Roxanne L-We need a head count, (which was last night, but if you call Roxanne before she orders the chicken...) This feast and fun time will begin at 1:00pm. The Troop will provide the chicken, ice, and paper products. Everyone bring a 2-liter bottle of drink and a dish to share. Bring any sports equipment for games, or a favorite lounge chair for kibitzing.

c. OCT. 13-Note that there are 3!! things happening this date.

1.POSSUM HOLLOW Clean Up-9:00am-12noon-There will be a meeting place on Cherry Grove Road. Breakfast will be offered. The Ruitan Club will make a donation to any troop showing up. Contact Keith Quinn. Those who go, keep track of your service hours and report them to John Heide.

2.ART SHOW-8:30am Saturday, 11:00am Sunday-Meet at the Old Courthouse in Class A to help the artist's setup and take down. Contact Sheila. Gwaltney. Again, keep track of your service hours and report them to John. Heide.

3.YARD SALE-NEED A COORDINATOR for this 1 day event. NEED A SITE ALSO. Scott H is looking but needs your assistance/suggestions. In the past we have met at 5:30am to organize.

d. OCT. 19,20,21-FALL CAMPOREE-Our troop is sponsoring this event for the district. All parents should try to help in some way. There was a sign up sheet last night, but also please contact Brian L about how you can help. There will be simple jobs such as check in and probably a massive effort needed for cleanup as well as other jobs. Please volunteer your time for our boys. Also, our troop will be camping during this time and participating in the events. The camporee is at Lone Star Lodge which is in Chuckatuck. Directions will be available, (but drive down 10 to Chuckatuck, go past lumber yard to school on Right, look left for Pembroke St. and turn Left there and follow the road around.)

e. Oct 22-change in calendar -NO meeting of any kind.

f. Oct 29-Weekly meeting, parents meeting, Board of Review

g. NOV. 2,3,4-BLACKSTONE TRIP-NEED DRIVERS. We have the church van, but it will not be sufficient. This is a trip to the Methodist Center in the town of Blackstone, Va. This is an outing in which merit badges may be earned. There is a list of merit badges which will be available and how many will be able to sign up for a class. Last year there were 1200 scouts. A lot of these badges have requirements that must be done before arriving and there are no sign ups in advance, so choose carefully & pick alternates.

h. NOV. 12- DINNER AT AMERICAN LEGION at 6:00pm

Please contact me should you notice errors or omissions. There was a lot going on. Thanks, Liz
