
Department Chair Meeting
Statement of Concerns: The chairs discussed several submitted statements of concern
1. Students out class during tutorial, where should they be? (moved to Tutorial discussion)
2. Copy Room issues:
*Keep copy room open more hours- Cynthia will be more diligent about allowing days off that fall before/after vacations, final exams days.-Ruth will follow up
*Assign student aides that will work in the counseling office, especially 5th/6th periods that can make occasional copies. Ron will follow up.
*Classroom jobs take priority- Rich will be more aware of putting in administrative jobs that are top priority.
3. Union Issues: Caution about issues that could be otherwise dealt with through the Association.
4. Classroom Security during Summer School: (Missing books, equipment, damaged items)-
*suggestion to ask Jacquie to put more pressure on Summer School Principals as well as deal with textbook concerns.
*Have a specific room within each department where valuables can be stored that is “off-limits” to Summer School teachers. -Cynthia will deal with this.
*Cece will follow up with completion of these 2 tasks.
Tutorial
Concerns:
*Underutilization- Students not fully using tutorial to the best of their benefit
*Lawlessness-Students out in the halls, lack of regulations
Suggestions:
*Schedule Leadership during tutorial.
*Assignments from every department that could be worked on at any time.
*Administrative control.
*Pass accountability (In/Out signature, pass back to class)
*Grade
*Assignment of tutorials that are subject/club focused.
*Suggestion of possible changes in schedules to not include tutorial.
*Campus aides to monitor more.
*Announcements at the end of tutorial period.
Final comments:
*Move the schedule/ necessity for tutorial to discussion next year.
*Pass back accountability
*Reshuffling of tutorials at the semester.
*Campus aides should definitely be on duty during Tutorial and not be used to run errands.
A proposal was made that Tutorial have a “pass-back” component with 5 minutes at the end for the student to pass back to the home tutorial with a signed pass. The home-tutorial teacher will verify that the alternate tutorial teacher signed the pass back, verifying that the student was in the alternate tutorial the whole time. The home-tutorial teacher will be responsible for consequences, such as marking the student with a “cut.”

The alternative tutorial teacher checks off the comments and signs the return. The last five minutes of tutorial are for passing back to home tutorial.
A motion to have the faculty vote on this was made and seconded to discuss the pass back type of system at the next Faculty Meeting on May 14th. A vote was taken and it passed unanimously.
*Nate Johnson will be in charge of facilitating the first vote at the faculty meeting on May 14. The ballot will look like this:

The tutorial pass shall be modified as in the example to allow for comments and a return signature from the alternate teacher.

A motion to have the faculty vote on this was made and seconded and a vote was taken. It passed with 3 abstaining. Miguel will be in charge of this second vote at the Faculty Meeting on May 14. A 2/3 majority of the faculty will be needed for this to pass. The ballot will look like this:
Mid-Year Tutorial
Reassignment Ballot
Tutorial students shall be randomly reassigned after the second week of classes in the spring semester. The spring semester’s tutorial class will thus have a different random mix of students from the fall semester’s tutorial class. Other tutorial assignment parameters will remain as in previous years.

Prioritize up-coming year’s concerns and address any new “statements of concern.”
Concerns from 2003/04 school year that could serve as spring board for 2004/05:
1. Dedicated tutorial classes (subject-specific)
2. Examine Schedule and tutorial
3. Establish goals for the school
4. Work totally off the list generated by the staff on s.d. day, supplemented by our concerns
5. Help all students meet standards
6. Better ways of bringing all students up to grade level.
7. We should target Latino and Pacific Islanders not meeting the UC requirement, especially.
8. Alternatives for non-UC bound students (Academic core, non-UC students shouldn’t feel less )
9. Examine Student Study Team process
10. Standardized, school-wide system of note-taking and organizing.
11. Make sure we can discuss, protect, promote electives
12. Find ways to facilitate teacher-parent communication with Spanish speakers
13. Examine what is good enough
14. Examine weighting of grades(should a C+ mean the same thing as a C-)
15. Big teacher issues such as time for grading
