2004-2005 SGVAC Committee Board Meeting

June 7, 2004

The first meeting of the SGVAC Board was held on June 5, 2004 at the home of Jody Thomas, SGVAC Alumnae President. The meeting was called to order at 11:30 a.m. by Jody Thomas.

Present were: Jody Thomas, Kathleen Seguin, Suzanne Bowman, Nancy Yankura, and Sue Gordon

Absent were: Stacy Waggoner

Membership: Jody reported on total paid membership for the year to date. As of June 5, we have 24 paying members @ $40 annual dues. This is down from 36 paid members from the previous year.

Finances: Nancy reported that we had a net profit of $XXX.XX from the annual yard sale held May 15, 2004 at the home of Kathleen Seguin. Total balance in checking account is $XXX.XX.

Goals: The group decided to brainstorm on short and long term goals for the SGVAC. They are listed below as follows:

1. Short Term Goals:

a. Increase paid membership

b. Increase participation in meetings and scheduled events

c. Publish SGVAC newsletter 4x per year (2x bulk mail to all members in August and in January; 2x via email to paid members only)

d. Plan interesting meetings in order to gain attendance

e. Stick to prearranged plans

f. Mail membership survey to all members

g. Obtain member bios

h. Ongoing ritual practice/education

i. Review of AOII membership structure

j. Obtain specific interest areas of different women within SGVAC – hold learning/training events in these areas of interest

k. Increase awareness amongst collegians in our area

2. Long Term Goals:

a. Maintain membership @ minimum of 50 paid members

b. Recruitment/retention of members

c. Increase paid participation

d. Plan/participate in active philanthropic projects/activities (Arthritis research, WINGS)

e. Financial plan

f. Continue to meet AOII International requirements

g. Continuous AOII Education/PR structure

h. Scrapbook of SGVAC

i. Alumnae Initiatives

j. Networking

Calendar: Board planned out calendar for 2004-2005 year. Meetings/activities are as follows (Member only activities are in BOLD):

August 21: Envelope Stuffing Party

Stuff packets for August mailings

Time: 11:00 a.m.

Items to be included: Member survey, member bios, membership information forms, Fall/Winter newsletter, 2004-2005 Calendar, Dues reminder, invitation for Sept. brunch

Action Steps:

a. Kathleen to formulate Newsletter and send to Board for approval; design invitation to brunch & 2004-2005 calendar

b. Jody to forward Kathleen copies of member survey for mail outs; Jody to write President’s message to all members

c. Nancy to provide dues reminder message; member bio & information forms

September 18: “Ooh La La” Fall Brunch (Parisian theme)

Sue Gordon’s Home

Kick-off to new year as well as honor our 50 year members

Time: 11:00 a.m.

Action Steps:

a. Kathleen to formulate brunch menu…send out sign up sheet to Board members to bring food, etc…

b. Nancy to provide list of 50 year members to be honored

September 29: BOARD MEETING

Jody Thomas’ Home

Time: 7:00 p.m.

October 18: “Boo Ha Ha” SGVAC Member ONLY Outing

Hotel Aztec, Monrovia

Tour & Lunch

Time: 11:00 a.m.

a. Suzanne to check on availability for preferred date; make reservation; send out reminder postcards for event

December 5: “Fa La La” SGVAC Holiday Party

Suzanne Bowman’s Home

Cookie Exchange

Time: 2:00 p.m.

Action Steps:

a. Board to discuss possibility of supplying goody bags (maybe an ornament to each Member who attends)

b. SGVAC to provide drinks for party

Alumnae Network Specialist: The SGVAC is loosing their Alumnae Network Specialist this year. Suggestion was to contact HQ to discuss having the current ANS for Southern California cover our chapter as well. Jody to contact Ann Lampe @
