8 Personalizing Mass Mailings 

This feature, which works in TEXT mode only, allows you to create
individual form letters using a previously created address list.
When you print, you will be prompted for the file name of the address
list.  You can create your address list in several ways.  Either
use Timeworks DATA MANAGER 2 program (best for large, changing
address lists), Timeworks PARTNER 64 or WORD WRITER. 

Creating Address List 

To develop your address list using WORD WRITER: 

Before you begin typing in your address list, type the words
ADDRESS LIST (in all capital letters) and press [RETURN].  You must
enter this line at the top of each of your address lists.  If you
do not perform this step, the computer will net be able to use these
lists when you print form letters.  Be sure you are in TEXT mode. 

Now type in your addresses on the display, as shown in the example
below:

Where you see [CTRL D] in the example, press [CTRL D] (delimiter).
You will see a strange character.  This character signals the
computer that the full address has been entered.  The double
delimiter after the last address signals the computer that all
addresses have been entered.  After typing in your address list,
store it on your WORD WRITER work disk (one drive) or data disk
(two drives.)  You can recall and modify it at any time. 

A sample address list in included on the program disk in the file
called ADR.  This is an example of how you must enter your addresses
in WORD WRITER.  To view the ADR file, load it into your computer
just as you you other files. 

After you have stored and address list on your work disk, use WW to
create you letter.  Remember, it can be no more then four pages long.
Leave space where your  addresses will be inserted. 

To view the way a letter should be set up for form-letter print-out,
load the sample letter, stored on you program disk under LETTER. 

Using List from DATA MANAGER 2 and SWIFTCALC 

When you have already created an address list in DATA MANAGER 2
there's no need to recreate it WORD WRITER.  You can save the file
in a format that WW can use. 

When you print labels in DATA MANAGER 2, you'll see a prompt "STORE
ADDRESSES TO DISK?"  Choose Yes, and when you're ask to enter a file
name, insert a WORD WRITER work disk and enter a name. 

If you want to use data from SWIFTCALC, Follow the directions in that
manual for Merging Your Spreadsheet with WORD WRITER.  That creates
a WW file. 

Now you're ready to move on to the next step. 

Press [CTRL G] to position the cursor at the top of your document.
Then press [C= P] to call you the Print Options Window, and follow
these steps: 

1. You can print form letters only in TEXT mode.  So press [A] to
toggle N for Print Fonts. 

2. Set option H, Merge Names, at Y for yes.  This feature is
necessary for form letter print-out. 

When you are finished setting the print options, press [RETURN].
You will be asked for the name of the file you want to load.
Insert the disk that contains your address list into the disk drive,
and enter the file name.  If the file was not created in WW, you
must choose the format--WW, DM-REPORT, or PETASCII.  Choose WW for
files created in DATA MANAGER 2 or SWIFTCALC and saved as noted
above.  Choose DM-REPORT only for reports.  The computer next will
ask you for the line of your document where the address will be
merged.  After you respond, it will print your letters with the
addresses from your address list.
