April 1, 2009 To: All Polish-American Club (PAC) Members The Officers and Trustees of the PAC have been putting together a Constitution and a set of By-Laws for several months. They are finally ready for adoption. These articles define what the club is all about and how things are done. How the club’s officers and trustees are elected and their responsibilities are spelled out in detail. Membership categories are defined, how meetings are conducted, defines the Code of Conduct, and how amendments to the document can be made. All of these items are important for any club to operate and be recognized by the State of Ohio. Currently, the PAC is not recognized by Ohio because we do not have an approved Constitution or set of By-Laws. Therefore, we are submitting a copy of the proposed Constitution and By-Laws to the membership for your approval. Enclosed with this letter is a copy of the proposed Constitution and By-Laws and a self-addressed stamped postcard. On the back of the postcard is the question asking you to vote either yes or no on whether you support the proposed Constitution and By-Laws. Once you have voted all you have to do is drop the postcard into the nearest mailbox. No postage is required. All votes must be received by May 1, 2009. At that time votes will be counted. A two-thirds majority of those voting is needed to adopt the proposed Constitution and By-Laws. This is an important step for the PAC. Please take the time to review the proposed Constitution and By Laws and to vote. It won’t take up much of your time. Your vote will help to determine how the PAC operates for years to come.
