Conversion of your data into Billing

The PcServ interface utility V1.0 can be used to convert or load your existing customer data into the Billing software. In addition, the PcsIntf utility allows you to change color of screens and update your software by internet. This utility is used to support cross application processing, or data conversion / migration into PcServ application format. If you have an existing application this utility can be used to populate data from your old system into one of the PcServ applications, or on-going provide updates to your PcServ applications.
* Please note � some programming may be required to support on-going updates into PcServ applications from external software. Also, the below information is copied and pasted from the Pcsintf "Help" topic on converting data.
If you would be interested in loading existing data from another application you will need to follow these steps to define the external file for conversion.
1 Click �Add new external definition�
2 You must select and enter a three character application id that will be used to identify and save your application definition
3 After choosing your application id, press enter, then make sure it is selected in the external file list
4 Select the PcServ database and record you want to convert into, scroll through the list and click once you find the record
5 Click �Map selected definitions�
6 A new window appears titled �Define external file�
7 Select options that best suite your external file�s attributes, fixed requires entry of the record size, delimited by requires entry of the delimiter used and PCSIntf.txt format is a structured format defined in its entirity later in this section

8 Click the binoculars (if not using PCSIntf.txt format) to locate and select the sample external application file
9 For delimited by A list of each field number and it�s content appears, validate your selections at this time if you have chosen the delimited by structure
10 For fixed record size If a fixed record format has been selected, click the �Tray� button to individually define each field position, type and length

Highlight each field individually using your mouse, then click the �Plus� button to add the definition;
removing a definition may be done by highlighting the field then pressing the �Negative sign� button; changing the field type may be done by selecting the field and clicking again with your mouse pointer, then keying in string, integer, single, long, currency or byte
Plus button is used to add selected data into a new field definition
Negative button is used to remove the selected field from the record definition

13 Close the define external file window by clicking the Exit button
14 Match fields between the external file and the selected PcServ database record
Accomplish the matching by selecting the matching field from the external file record, and the matching field from the PcServ database record, then clicking the �Map� button located in between the two lists
Placing the mouse pointer over the PcServ database field for a short period of time will display a text description of the field
Removal of a matched field is completed the same way by selecting each field, then clicking the �Del� button (for delete)
To return back to the file and field definitions, click the �Opt� button (for options)
15 Save the changes you have made to disk, by clicking on the drive box; if you don�t do this and you exit the application your definition will be lost
16 After one or more matches occur, the �Merge� button appears which you may choose at this time to load your data into the selected PcServ database record � the merge button does not appear for PCSIntf.txt formatted files. PCSIntf.txt formatted files must be placed in the \Program files\PcServ directory for processing.
CONVERSION INTEGRITY
Before the conversion takes place a field by field edit occurs checking for invalid number definitions, or other issues. Some error messages you may receive are listed in the problem section of this help.
