Committee Meeting Minutes

March 14th, 2005

Minutes of the December and January Committee Meetings were reviewed and approved by consensus.

 

Treasurer’s Report:

Heike Beavens submitted the treasurer’s report for March 2005. Total funds balance was $2003.08 as of 3/4/2005. This amount includes $1612.31 of individual Scouts funds. The money for the Blue and Gold dinner still needs to be deposited into the account.

 

Profit from the Joe Corbi & Popcorn fundraisers was divided evenly based an individual Scout’s sales.  For these fundraisers, 50% will be credited to the Scout’s account, and 50% to the Pack. This distribution was voted on and passed at the January, 2005 Committee Meeting and was discussed for clarity.  Heike also presented the Committee with an updated list of the Scout’s available funds.

 

***Heike Beavens has now officially stepped down as Treasurer of the Pack. A suggestion was made to purchase a gift for Heike to recognize her dedication to our Pack.***

 

 

Recent Events

Pinewood Derby- The Committee felt that the Pinewood Derby was a huge success. Many thanks were given to Steve Boyer and his committee for the wonderful job that they did. Steve Boyer also volunteered to head up the committee for next year.

Gratitude was also expressed to Gretchen Patti for organizing and running the concession stand at the Derby. Gretchen Patti provided the Committee with a breakdown of the profit earned for the Pack at the Derby.

Monetary Donations - $39.25

Food Sales - $288.85

Total profit was $328.10

Cost to provide Scouts with free food - $57.75

This was a great success.

 

Blue & Gold Banquet - The Pack Committee commended the Blue & Gold committee for a job well done. It was also noted that the consensus among those attending favored having the Award portion of the ceremony before the dinner. The Scouts’ behavior seemed to suggest that this agenda should be mimicked next year.

Re-Chartering

Shaun Shillady stated that re-chartering needs to be completed by no later than March 30, 2005. Re-chartering will need to take place on Monday, March 21st at the meeting. An email will be sent by Shaun to remind all parents that paperwork and fee must be completed that night.

 

Steve Boyer suggested that the Committee Chair should make a list of all events for the year after Re-chartering to have parents/guardians sign up for volunteering.  This suggestion was made to increase parental involvement throughout the year.

 

Training

All Committee members signed adult member application. Shaun Shillady encouraged members to receive training. Many Committee members will be going to training this Saturday, March 19th at St. Ignatius School from 8:00 A.M.-1:00P.M. They will receive a three-part training. The Youth Protection Training can also be completed online in about 20 minutes.

 

BALOO training will be available on April 16, 2005 from 9:00-5:00 at Hawk Mountain. This training is $10 a person.

 

Future Pack Meetings

-Shaun Shillady discussed the importance of having a parent stay with their son and help out at all meetings.

-Gloria Troup recommended sending a written notice of responsibilities to parents, stating that it is preferred that parents stay and attend to the cubs during Pack or Den meetings.

-Steve Boyer agreed that a letter should be sent home right after re-chartering.

-The Committee discussed and agreed to several new attendance rules for the upcoming year.

            1 - Parents need to volunteer within their Den and Pack.

            2 - Parent/guardian should remain at all meetings with their Scout.

 

Mr. Shillady also brought up the topic of moving back to separate Den meetings. Having the Den meetings together had both positive and negative effects. Overall, there is too much activity at a combined meeting, and the Dens suffered programmatically.

 

The Committee voted to separate the Pack/ Den meetings for the upcoming year.

 

New Schedule

A schedule was devised for the Pack up until the big Planning Meeting in August. The dates are attached.

 

 

New Business

The next Committee Meeting will be held on April 11, 2005, 7:00 PM, Trinity Lutheran Church, Wernersville.
