October Meeting via E-mailIf you're like me, there's not a lot of time to read a really long e-mail, especially if it's from Key Club. Since we don't have a meeting for another two weeks, this will substitute (as an October 29th meeting). You can get points for reading this if you follow the instructions. I'll do my best to be as brief as I can (lol), but I can't promise anything... print it out and read it on the run or out loud :) If not, be warned that you'll be very lost as to what's going on... I. Point System... (the longest section lol) **Is now up to date on the website! Go to http://www.keyclub.org/club/oceanlakes/ and click on "Points" from the toolbar on the left. Remember, new members are on the bottom list and old members are on the top list. **An asterisk next to your name denotes that you need to fulfill an event requirement (absolutely mandatory-- see "Events" heading below for more details) for the nine weeks **Don't be scared, the point system will look intimidating; remember, there's "chance", where you have the opportunity to make up the points next nine weeks. However, don't depend on using this chance all the time. One of the officers must approve giving the chance... **Your name is taken of the attendance roster if you a) don't meet point requirements and no officer has any objections b) miss 2 meetings in a row without notification or miss 3 meetings in a row with notification. However, we are not counting the meeting requirement first nine weeks (we will for the rest of the year, though). **The points aren't meant to be intimidating. I know Key Club isn't your life, but let's take things into perspective-- attending 2 full meetings (including doing the in-meeting project) and an event will get you the 15 points. First nine weeks we exempted the meeting requirement, but for the rest of the year, we'll be having about 5 meetings each nine weeks. You can make at least 2 meetings, right? And then there's other opportunities for getting points, like outside community service or bringing in food for the meeting... **Points do not carry over to the next nine weeks. **Questions on how you got your points? Be sure to ask me since I have the charts right now (I stole them from Cathy to save her from pain.. she had surgery and we want to keep her happy:), but be sure to send an e-mail to either [email protected] or [email protected] instead of hitting reply! **If you really would like to meet point system requirements this nine weeks, we're holding a canned food drive... we haven't gotten a sure-fire "yes" to the project yet, but whatever you give will be donated (3 cans=1 point, no limit). Place them in the box underneath the Key Club table in the library on Wednesday-Friday along with your name (and how many cans you're giving). II. Membership **Some names may have already been taken off due to non-response or no receipt of application (hopefully that didn't sound too bad ;) see Point System on website) **The membership list is taking a long time to get typed up :) As for your committees, you will get a minimum of one assignment per nine weeks, excluding first nine weeks. Look out for it ;) Just some thoughts I've gathered of feedback from a few of you... Key Club is a community service club. We exist to get things accomplished and not to just maintain points. We use the points as a means for you to get involved. Please don't think about writing it on your resume if you think simply coming to meetings will cut it. I hate to sound so... preachy? But some people work hard as members (you awesome people know who you are ;), and some people don't. I'm a firm believer that... it shouldn't be that way. Talk to me if you don't think you can handle the 1 event every nine weeks (that's basically what it comes down to) and I won't be angry. Promise. That's all I'll say on that. III. Some Money Matters **I've sent in our membership list to Key Club International... I followed those who paid dues as of Thursday, October 24th by looking at all receipts prior to this date (which is where we have record of the money matters). **Not counting those who have already been taken off the attendance roster, we have... 83 members.. 5 officers.. 88 total. 64 dues have been paid, which is an awesome majority! I am SO impressed, you guys! :) It really is hard to remember these things, I know. **However, there are still 24 unpaid... that's $240... hmm... If you may be having a problem with the dues, talk to us! We'll work something out. ;) **On the point system, there's a section for fundraising. We were going to take away points to those that did not sell an Entertainment Book, however it would hurt too many of you. So, those that sold an Entertainment Book get 2 points and a mental smiley face from me ^_^ **The other section on fundraising is UNICEF. If you raised under $15, you got 2 points. If you raised $15 or higher, you got 4 points :) IV. Meetings **Remember to sign-in for the meeting so we have record of your attendance. There are a lot of people and it gets confusing, I know... look at the other sheets before or after the meeting. This is the system we used last year, and it worked nicely... but we have more people this year :) If you have a better system you'd like to propose, we're open to ideas :) **I think we still have some misclarification with the new members still as to what a half and full meeting is (old members, you guys already know ;)... half a meeting is informational, a full meeting is informational + in-meeting project... but I noticed that some people said they were present for the full meeting, and yet we didn't see you doing -or attempting, although there was a lot of people- the project.. umm.. so I was just confused as to how one can stay for full meeting, yet not do the in-meeting project? **Ashley Wooton is AWESOME everyone! She and her mother have been sewing the dolls for us to work on!! We are SO grateful!! **There are two meetings each month. Dates are located in your membership folders, in front of Mrs. Thompson's office, and on the website... I don't really see a way how you could NOT know when the meeting dates are lol V. Events **If you do Kids Vote with another organization on November 5th (ie Girl Scout troop), then we will qualify that as event points (max. 5 points) as long as you report it (otherwise we'll forget ;). HOWEVER! Participation in the Halloween Splash will count toward event points only if done with Key Club; doing a room with another organization counts as outside community service (as said by the SCA :) **If you participate in Kids Vote, the event points will count on first nine weeks (even though it's after November 1st), but the following event- the Ocean Lakes Wetlands Clean-up - counts on second nine weeks. **When we volunteer at an event at the beach (or wherever it's a large festival-type event), there are lots and lots of people, and it may get confusing. Find an adult in charge and ask them what you should do.. you need to look for work to do instead of simply walking around. (A special thank you to those who asked me what they could do to help out! :) We had a tremendous turn-out for the Walk for Diabetes... 35 people :) Which is, simply amazing.. I never thought we'd ever get that many people out to one place at one time! However, the officers (and some adults) expressed some disappointments with behavior, which is something that has never, ever happened. As a result, the officers would like to address a few things regarding events... ~~> Any event taking place outside of school will have a limit of 20 people participating (unless mentioned otherwise), so please be sure to attend. 5 people will be assigned to each officer that attends the event and they (the officer) will be responsible for monitoring those 5 people. How do you know which officer you will be assigned to? You'll either get notification through e-mail or phone call. ~~> Basically, for events that take place outside of school, we'll have teams of 5 and an officer for each. Members report to their assigned officer, who will monitor each member for the duration of the event. Why is this relevant? Instead of giving 5 points, we will be giving a varied 3-5 points, depending on what the officers report. You're also need to sign out with your assigned officer. A trial version of this system will be on Halloween night for the Halloween Splash (and we have yet to get an assigned room lol) **lol I thought I'd never have to limit the amount of people at outside events! **If you feel intimidated by the many people in our club, don't be :) VI. Last Minute Notes **If you do any outside community service, report it on the sheet at meetings (they must be current community service done from the last time you reported) **We're assessing our administrative year this time to hopefully get a club award (Danielle's all about the competition since we're the best) and everything -outside community service, events, meeting attendance, etc- all need to be reported :) So please be sure to sign-in at meetings and events... **Coming to the Halloween Splash? Remember to bring candy and dress up (the dressing up is optional lol) **Coming to Kids Vote? Your times are available online on the EVENTS page... be sure to get there! As it stands, it will be on the other side of the gymnasium (old members, you know where this is :) **Leaving us questions on the Key Club sticky board in the library? Awesome! Remember to put your name; what we'll do is reply right on the card, so be sure to stop by and see if you're question has been answered :) (Yes! I love the sticky board!) **I apologize for being preachy or sounding mean lol **New members, bear with me as I'm getting to know names... I'm familiar with most of you, but don't be upset if my brain doesn't register (it's kind of slow :) **I'm really sorry, but sometimes I don't reply to e-mails if they don't ask a question lol I'll try to work on replying to all e-mails from now on. If you're confused or have any questions about anything, please contact me! Okay, at the beginning of the e-mail, I said you could get points for reading the e-mail, which counts as a meeting. Since this e-mail takes some 20 minutes to read (lol) and you'll have to answer questions (another 10 minutes lol), it will be worth 3 points-- this is mainly for people who need points, but I'll keep a mental note as to whether or not you read it. How do you get points? Answer the following questions completely and send it to [email protected] . Do not hit reply- doing so will not get points lol. So copy and paste the questions into an e-mail, answer them completely (and I mean completely) and send it to [email protected]. Use this e-mail address ONLY for answering the e-mail questions (all other questions go to [email protected]). A lot of work for points, eh? lol No responses will be accepted after 12 p.m. EST on November 2, 2002. 1) What two things might happen if you don't meet Point System requirements? What's the absolute requirement you MUST meet (don't give me the number of points you need!)? Who's in charge of the point system (her name and position)? 2) How many points got taken away for NOT selling an Entertainment Book? How much money minimum did you have to raise for UNICEF to get 4 points? What was the last day we counted dues? 3) How do you find out about meeting dates (min. of 4 ways)? 4) The Kids Vote event counts on what nine weeks? Okay, lets say you're helping out with March of Dimes by the beach, and you've been assigned to Cathy as your officer. What do you do? (In other words, what do you do upon arrival, what do you do at the event, and what do you do when you want to leave) 5) You want to e-mail Danielle with a question.. what do you do? Or better yet, what do you NOT do? lol 6) Danielle is a fanatic of what book/movie series? (j/k lol) Got any questions for me? Bring it on.
