SEPTEMBER FAQs:

Q: Does tabling to recruit new members count as service?
A: No, recruitment counts as club administrative hours and is meant to benefit the club alone. Thus, it does not count as service.

Q: When should I report the number of hours for a K-family activity?
A: You only have to report the number of hours when a service project was done with another branch of the K-family. In this case, you would include the number of service hours completed. However, if you attend a Kiwanis, Key Club, or Circle K meeting, do not include the number of hours.

Q: If a Kiwanis member attends one of our Circle K meetings, does our club receive points in the K-family Race?
A: No, you must go to a meeting of Kiwanis, Key Club, or another Circle K Club to receive credit in the K-family Race. In addition, interacting with the other K-family branches at service projects and attending any Circle K conferences counts toward the K-family Race.

Q: If I just received service hours from a previous month, how do I go about reporting them?
A: Just include it on the next MPRF and make note what month it was from or e-mail it to me separately.

Q: Can service done outside of Circle K be reported on MPRFs?
A: Of course! Circle K records all service hours done by its members. Whether done with a Circle K Club or not, we want to know how active members are in helping the community!

Q: Do I report service hours for all Circle K members, whether they are paid or non-paid?

A: No, only service hours for dues paid members can be reported to the New York District and Circle K International.

Q: How can we recognize members that are non-paid but are very active in the club?
A: Encourage all new members to pay dues. But if they dont, emphasize that they can still participate in service projects. Some non-paid members can become really active. To recognize their efforts, feel free to write about them in the MPRF. Paid members can be nominated for recognition through the new WOW program created by Awards Chair Erin Quinn. To send a nomination, e-mail Erin at [email protected]. In addition, you can create an incentive system within your own club such as point system or sticker chart where all members receive credit for coming to meetings and service projects and have a chance to receive a prize.

Q: When do I report service hours for newly paid members?

A: You can report service hours for newly dues paid members right away. Paid members from the 2004-2005 Circle K year are only dues paid until September 30th. You can continue report their service hours on the MPRF as long as they are active and will pay dues by December 1st.

AUGUST MPRF TIPS:

1.  You can report service hours for newly paid members right away. Continue to report service hours for old members if you are sure they will stay active and eventually pay dues by December 1st.

2.  Time spent recruiting new members does not count as service.

3.  Please send me any hours you have received from members that you didn't get a chance to report on an MPRF over the summer. Also, you can send me MPRFs from previous months if you want to get some more points toward the MPRF Race!

4.  Fill out all sections completely, even if your club did not do service or you do not have an answer to a question.

5.  Please be sure to report all Kiwanis Family activities on the MPRF. Circle K International will now be recording Kiwanis Family activities done by Districts.

APRIL MPRF TIPS:

1.  Time spent at a Kiwanis Family meeting or a Circle K Divisional does not count as service. Only time spent doing a service project at one of these meetings counts as service.

2.  As this is a new Circle K year, you can only report any service your club has done since April 1st, 2005. However, if you receive service hours from a member from a previous month during the 2005-2006 Circle K year, you can always send those hours to me in an e-mail and I will add them on. Just be sure to let me know which month it is from and also provide a description of what was done.

3.  Be sure to fill out the heading of your MPRF, including the number of dues paid members in your club.

4.  Service done outside of Circle K service projects can be reported as well! Just be sure to provide a description of any individual service hours on the MPRF like you would do for any service projects done through your club.

5.  Please make sure that the hours listed in the service project descriptions add up to the service hour total you provided at the start of the MPRF!

6.  Talk to your Club President and other Club Officers to see what District Officers contacted your club. In addition, talk to them to get feedback on what you should write for the club progress questions.

7.  When giving the number of hours completed for a service project, please include the total number of hours completed, not the number of hours done per person. Also give the number of members that participated in the project.

8.  Lastly, please send the MPRF to myself as well as Governor Helen and District Administrator Johnny K.
