Article VII
Article VII- Organizational Grants

Section 1 - Purpose

1.1 The purpose of Organizational Grants shall be to aid University approved student organizations defray costs in certain approved projects.

1.2 The Organizational Grant shall be the only mechanism through which student organizations may solicit Student Government Association funds.

Section 2 - Membership

2.1 The Organizational Grant Committee shall consist of the following members:

     2.1.1 One Senator recommended by the Fiscal Affairs Commissioner,
     appointed by the President, and approved by the Senate shall serve as
     Chairman.

     2.1.2 Six other members nominated by the Senate and approved by the
     Senate.

Section 3 - Guidelines for Student Organization Application

3.1 Only chartered university organizations registered with the Office of Student Activities shall be given consideration.

3.2 The organization must not be on either academic or disciplinary probation.

3.3 Grants shall only be awarded for special projects and/or events benefiting all students on the Northwestern State University Natchitoches campus.

3.4 Grants for travel and professional service grants will not be considered.

3.5 Each organization is limited to receiving only the amount approved by the Senate at the first meeting of each semester.

3.6 Each organization may submit multiple applications, but only up to one project through that organization shall be funded per semester.

3.7 Applications must have all necessary signatures to be given consideration.

3.8 Grant applications must be available to Student Organizations for at least two weeks before the deadline. Applications are due on the last Friday of September for the fall semester and the last Friday of February for the spring semester. This application must be submitted during business hours to the Office of Student Activities in room 214 of the Student Union.

3.9 Within one week of the application deadline, the Student Organization shall be contacted to schedule an appointment with the SGA Grant Committee in which the Committee will require the following information:

     3.9.1 Annual amount raised from sources of revenue

     3.9.2 Explanation of why the money is needed in excess of any revenue
     that the organization has raised/received from other sources.

     3.9.3 A copy of the organization's budget

     3.9.4 Any additional questions Committee members find necessary to ask.

3.10 Should the organization fail to be present at their scheduled meeting for any reason, that organization relinquishes its rights to provide said information in 3.7 and the Grant Committee shall vote on that organization's and other organizations' Grant applications.

3.11 The outcome of a student organization's grant application shall be submitted in letter form to said organization within one week of the vote.

Section 4 - Voting

4.1 All seven Committee members must be present at all meetings in order for the Organizational Grant Committee to satisfy quorum.

4.2 Grant approval must receive a majority vote of Committee members and a simple majority vote from the Senate.

4.3 Should there be a tie, the Committee Chairman shall decide the outcome of the vote.
