POSITION TITLE:                   Circulation Manager – Part-time/Evenings and Weekends

PRIMARY PURPOSE:            Organizes and manages the evening and weekend operation of the circulation unit of the library.  Provides public service to library users, including circulation of materials, assistance in use of specialized computer research tools, and answering ready reference questions.  May be required to work some holidays.

 

ESSENTIAL JOB FUNCTIONS:

 

1.       The first priority of all members of the HPD Library team is to serve the HPD Library

and the HPD faculty, students, and patrons.  Therefore, team members will not be limited by this job description in an effort to assist our constituency, but will perform whatever tasks are assigned by supervisor(s).  Team members will be readily available, visible, and accessible to faculty, students, and patrons.  If unable to answer an inquiry, the team member will insure that the patron is assisted by another member of the HPD Library team.

2.       Manages operation of circulation department for the library, including the computerized

circulation system.

3.       Trains and supervises student employees for circulation operation.  Assigns and follows

      up on student assignments.

4.       Is responsible for maintaining library equipment, such as copiers and computers, and acts

      as liaison with repair personnel.

5.       Is responsible for organization and control of overdues.

6.       Answers directional and simple reference inquiries from the university community, and, to a lesser extent, from other customers, in person, and by phone.  Serves as liaison between librarians and library users.

7.       Assists in training patrons to use specialized computer research tools.

8.       Directs student employees in shelving of journals, books, and audiovisuals, and

participates in shelving as needed.

9.       Works with Circulation/Reference Librarian and other circulation desk personnel to recommend and implement policies and procedures for the Circulation, Stack Maintenance, and Photocopy areas.

10.   Performs functions at the circulation desk which includes helping students check out and

return materials, identifying overdue books, preparing and processing overdue book

notices, and installing bar codes on patron IDs and materials.

11.   Coordinates and controls library reserve materials: books, audio and videotapes, slides,

CD-ROMs, theses, faculty note collection, etc.  Assists in the development and weeding

of the reserve collection.

12.   Conducts evening and weekend library orientation tours for new users, as needed.

13.   Handles “problem” circulation requests.

14.   Is responsible for library security during working hours.

15.   Is responsible for closing the library.

16.   Uses Innovative interface for NovaCat and the HPD Library local catalog to assist in the

      location of materials.

17.   Performs other duties as required.

 

MARGINAL JOB FUNCTIONS:

 

  1. Attends meetings and specialized training, as necessary.
  2. Maintains work area in a neat and orderly fashion, and any necessary communication in writing in order to ensure a smooth transition in circulation desk activities throughout the library’s operating hours.
  3. Assists the Director and other library staff in special projects as required.
  4. Directs student employees in reorganizing library shelves.

 

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  1. The ability to orally communicate effectively with others, with or without the use of an interpreter, is necessary.
  2. The ability to communicate effectively in writing, using the English language, with or without the use of auxiliary aids or services, is required.
  3. The ability to work cooperatively with colleagues and supervisory staff at all levels is required for the position.
  4. Excellent organizational skills are needed to perform this position.
  5. A high degree of motivation, initiative, and self-direction is desirable.

 

PHYSICAL REQUIREMENTS:

 

  1. The incumbent may be exposed to short, intermittent or prolonged periods of sitting or standing in the performance of job duties.
  2. The incumbent may be required to accomplish job duties using various types of equipment and supplies including but not limited to computers, photocopiers, telefacsimile machine, calculators, telephones, barcode readers, writing utensils, etc.
  3. The incumbent may be required to transport oneself to other campus offices, satellites, conference rooms and other off-campus sites.
  4. The incumbent must be able to lift up to 25 pounds.

 

MINIMUM REQUIREMENTS:

 

  1. A high school diploma, with some college courses, is required.
  2. A minimum of one year experience working at a library’s reference or circulation desk or related training is required for the position.
  3. Excellent interpersonal skills, demonstrated organizational ability, adaptability, and high energy level are necessary.

 

OTHER PREFERRED QUALIFICATIONS:

 

  1. Some supervisory experience is preferred.
  2. Familiarity with automated library circulation systems and with electronic database searching is highly desirable.
