| BID MANAGEMENT AND CLAIMS ADMINISTRATION BID MANAGEMENT Our bid management administration is designed to deliver additional savings to those derived from the Cost Saving Solutions process. The program is structured to achieve these results using the following procedures: - Document Review: To attract the best subcontractor talent and lowest possible bids, we will assist in producing a quality set of Contract Documents enabling the prospective bidders to reduce or eliminate contingencies; - Local Participation: Immediate and ongoing communication with qualified local firms will be initiated to generate and maintain their interest in the project and ensure maximum local coverage; - M/W/DBE Involvement: Qualified Minority, Women Owned or Firms Owned by Disabled Persons will be contacted and encouraged to participate in the project; - Pre-Bid Conference: All interested trade contractors will be required to meet with the owner, architect and MBI to address and resolve any issues so that bid assumptions can be minimized; - Bid Review: Following receipt of bids, the owner, architects and MBI will meet and review the bids for each category and determine the lowest �responsible� bid. Subsequent meetings with the apparent low bidder to review the contract documents will confirm the validity of his proposal; - Negotiation: A review of the low bidder�s basis of estimate will reveal costs that may be grossly inconsistent with our own estimate. Working with the subcontractor we can often achieve an even lower price by presenting ways for the company to further reduce its cost while maintaining a fair profit margin; - Contract Award: Once the project team is satisfied with the successful bidder�s scope respective to the Contract Documents, a recommendation for award will be made. CLAIMS ADMINISTRATION - A claim is best defined as a �disputed change.� It is our responsibility to monitor, record and process all non-scope and scope changes to control change order requests and eliminate the acts that promote misunderstandings leading to claims. - We will insulate the client from these potential claims by taking the following precautionary actions: 1. Communication between all parties at all times; 2. Fair, but firm, management of pre-qualified trade contractors; 3. Ensure issuance of clear and complete construction documents; 4. Maintenance of an accurate change order log; 5. Timely negotiation and execution of all change requests in an equitable manner.; 6. Healthy project environment stressing accurate schedules and record keeping; 7. Utilization of our cost control, accounting and reporting systems. |
