Part V : Monthly Reports

Section A: Purpose

1) Each club in the district shall submit a report to the Board every month detailing their status and activities. The club secretary shall be responsible for the completion and submission of these reports.

2) The reports shall include information on meetings, projects, membership, participation, K-Family activity and interclubs, and other items the Board desires or the club wishes to make known.

Section B: Submission

1) Clubs shall send copies of the report to the appropriate Lieutenant Governor, District Secretary, and Governor. The club shall also forward a copy to their advisor(s) and keep one copy on file.

2) Reports shall be postmarked by the first day of each month, and pertain to activities and information from the preceding month. The club president and the club secretary shall share responsibility for reports postmarked after the fifth day of each month.

3) Reports are required to be printed or typed using the Club Monthly Report Form (See Appendix H) or using the on-line reporting system provided by the District's internet homepage.

4) Reports shall be submitted for each month, including months which no activity transpired. In such case, the report shall indicate no activities for that month and the reason(s) why no activities were held.
