Grad Night 4/11/02 Meeting Minutes

Contract
-
Kathy Allyn sent a $1000 deposit for Camelot Park in. This was actually
an early payment. $5000 is required by May 1. We need a check for $4000.

The balance is due May 30. We will need $7000 more. There is a 200-person
minimum.

The PTSA requires a rider in the contract for the bus company. This goes
to Camelot Park. (See copy in binder.)

Fundraising
-
Terri Moffatt is handling the eggroll sales. They are every Tuesday and
Wednesday.

Eggrolls are selling out. They sell 400 and make $200.
-
The eggroll sales generated enough revenue that Terri is returning the
seed money check.

The eggroll vendor requires a cash payment for them, so Terri needs to
keep cash on hand for that.

Food - Mary Ellen Kuykendall

Una Mas donated 2 4-foot burritos. This is a corporate donation, not from
one location. 1 burrito is vegetarian.

Round Table in Willow Glen donated 5 large pizzas.

Round Table in Santa Clara donated 5 large pizzas.

Mountain Mike's donated 2 large pizzas.
-
We had 17 pizzas last year, so we'll need 5 more.

Tony & Alba's gave a $20 gift certificate.

Pasta Pomadoro donated 20 salads.
-
Antonello's donated bruchetta and bread for 50.

Aki's Bakery donated 150 pieces of cookies and brownies.

Queen's Donuts donated 2 dozen donuts.

Zonatto's gave a $40 gift certificate.

We suggested trying Di Puccio's on Meridian and Branham.

Last year, Tony and Alba's complained that we didn't pick up the pizza
they donated. There must have been a mix-up.

Last year, Gunther's at Hamilton and Meridian donated a vegetable tray.
(Last year, there was too many vegetables.)

The Willow Glen Roasting Company may be able to donate coffee. The owner
prefers to meet personally with representatives of the organizations he
donates to.

We had 43 cases of soda last year and brought back 6 cases. We had too
much diet soda last year. We need more regular soda.

Mary Ellen talked to Mr. Heller about having Pepsi donate drinks. He said
they would do the same as last year. Pepsi will not donate water. We need
to buy that or get donations for it.

We can go to Costco for munchies. Terri said she could help buy what we
need.

Terri suggested that she could use the money from the last eggroll sales
to buy food from Costco.

The Grad Night Web page has a section at the bottom acknowledging donations.

Publicity

Mary Kay Tocce is handling publicity.

We allocated $200 to pay for materials.

Tickets
-
Kathy Allyn is organizing the ticket sales. Marlene is helping.

They will start at 12:42 next week.

They need to get a table and 2 chairs. They can ask Nora.

To promote ticket sales, we can raffle prizes. We'll ask for 2 prom tickets
and a yearbook

Keychains
-
Joanmarie Woertink bought the keychains.
-
Last year we spent $700 on keychains. This year, we spent $980.75.
-
We ordered 325 keychains.

In the PTSA meeting following the Grad Night meeting, the following expenditures
were approved:

$4000 for the Camelot Park deposit.

$980 for the keychains.

$200 for publicity.

Scholarships
-
Mrs. Lepiane talked about scholarships for Grad Night in the PTSA meeting.

We usually do not give full scholarships. The students are asked how much
they can pay.
-
If they don't get the scholarship money from PTSA, they can get it from
somewhere else.

Patricia Valdivian and Susan De Young are talking to parents in Spanish.
