Grad Night Meeting 2/27/2003

Budget

Ticket sales:

Marla is handling ticket sales and has started.

Sold 6 tickets so far.

The ticket sellers are getting questions from students about grad night.

The students can sign the form when they turn 18. They can buy the tickets
now. They can send a check in.

Tickets cost $60 before spring break, $65 after. Since we have to pay Camelot
Park $65/ticket, we will be subsidizing early sales. We will need fundraising
to make up the difference.

We have a prom bid for a raffle prize.

Publicity
-
The Grad Night announcement goes on the bulletin board daily.

They made 15 flyers and posted them. They may need to make more.
-
The school newsletter deadline is 3/26. It will be mailed out 4/9. Sue
will put an article in it.

Scholarships:
-
Amanda Bush asked about scholarships. Sue told her how much we have budgeted
for scholarships.

We need to make up a form for the scholarships.
-
Fundraising/donations:
-
The letter was sent to the Lincoln Foundation requesting a grant.
-
Eggrolls are being sold once a month. We are making about $200 each time.
-
We need to get parents to solicit donations.
-
We should get together what we can for donations and decide whether to
use them for ticket sale incentives or raffle prizes at Grad Night.

Supplemental Entertainment

Marilyn Berger got a letter from a comedian who may be willing to entertain.

Ron Horii has been talking to a hypnotist, Arlow Moreland, who can give
a 1 - 1 1/2 hour show for around $500. The members were generally in favor
of hiring him, but they had some questions. The PTA rules require worker's
comp, liability, and a hold harmless agreement for a hypnotist. Ron will
ask the hypnotist about it. We need to contact Camelot Park to see if they
can handle the group and provide a PA system. We may need to put something
on the student permission form to allow parents of minors to give or deny
permission for their kids to be hypnotized.

Update: Ron contacted the hypnotist, who said the requirements would be
no problem. Sue contacted Camelot Park. They said they could accommodate
the show. The PTSA voted to allow the Grad Night Committee to make the
decision about hiring the hypnotist.

Bus Loading
-
Lore Osaki-Horii is handling bus loading. She needs a list of students.
Marla said she'd make the list. We need it on a spreadsheet file.

Chaperones
-
George Adragna and Jennifer Thomas said they would help chaperone.
-
We need more chaperones. Teachers will have school the next day unless
they have all seniors.

Food
-
Ron gave Judy a list of the donors from last year.
-
Some donors, like Una Mas, need a letter to the corporate headquarters.
Una Mas will give a gift certificate that is good anywhere.
-
Drinks: Pepsi donated last few years. Mr. Heller got last year. Ask Mr.
Rourke.
-
We will hand out the keychains in June. Sue will find out the lead time
to order them.

The next meeting will be on Thursday March 20 at 7:00 pm in the Media Center.
