Presiding Officer Guide

 

The Presiding Officer is a member of the LOTC Executive Committee (President, Vice President, etc.) and is responsible for the seeing that the meeting happens.  Their responsibility is to start and end the meeting, introduce.

 

Early in the Week:

1.  Make sure the Meeting Toastmaster knows their assignment for the following week.  Talk to them Monday or call or email them Tuesday or Wednesday.

2.  Prepare an introduction of the MeetingToastmaster

 

Before the Meeting:

1.  (1st Priority Greet) guests and ask them to fill out the “guest form” and prepare name badges.  Introduce each guest to at leas one club member.  Collect all guest forms.

2.  (2nd Priority) Introduce yourself to newer members (2nd priority)

3.  Show up at 6:00pm to help set up room (3rd priority)

 

 

Beginning of the Meeting

1.  At 6:30pm call the club to order by saying “The Lake

     Oswego Toastmasters Club Meeting is called to order” (strike

     gavel)

2.  Say your name and your executive committee role

3.  Lead the flag salute

4.  Provide general welcoming comments

5.  Introduce guests, ask them each one question and lead in a  

     round of applause for each one for taking the step of coming to a

     meeting

6.  (If we have time) Have every member introduce themselves in 10 words or less

7.  Give a brief explanation of the role of the Meeting Toastmaster and than introduce the Toastmaster

 

End of the Meeting

1.  Praise and thank the Toastmaster

2.  Hand out meeting awards (if the Toastmaster prefers not to)

3.  Hand out speaking and leadership awards, CTM, CL, ATM-B, etc.

4.  If appropriate, ask the Sergant at Arms  to hand out new member name tags

5.  If you have time, ask for feedback from the guests

6.  If you have time, ask for questions from members

7.  If you have time, make club announcements

8.  If you have time, ask for announcements from members

9.  Go over next week’s schedule

10.  Provide concluding remarks   

11.  End the meeting by saying “The Lake Oswego Toastmasters Club

     Meeting is adjourned” (strike the gravel)

 

After the Meeting:

1.  Help the LOTC Vice President Membership greet each guest and answer questions.  Give guests a copy of our guest packet and invite them to visit again.

Collect all guest forms and mail them to the Vice President Membership.

2.  If a guest wants to become a member, be sure to have the guest meet the Vice President Membership or the Treasurer.

 

3.  Email the entire club the names and emails of the new members and next week’s.
