General
Evaluator Guide
The information below is from the Communication and Leadership Manual
(a.k.a. Basic Manual). Refer to this
manual for more information but note some of the meeting roles and
responsibilities have been modified to fit LOTC interests.

The General Evaluator ensures
the LOTC Mission "To create a supportive environment for members to
improve their communication and leadership skills".
The General Evaluator creates
a positive atmosphere for learning and feedback to take place. The General Evaluator has 2 major
responsibilities: Coordinating the Evaluation Team and evaluating the meeting
The Evaluation Team
includes, the Speaker’s Evaluators, Ahs/Grammarian, Timer/Vote Counter, Videographer.
evaluates anything and everything that takes place
throughout the meeting.
Early in the week:
- Contact the Evaluation Team to ensure they are aware of their
responsibilities and answer any questions.
- The Ahs/Grammarian should select a “Word of the Day”.
- If you have any questions about your responsibilities contact the
Meeting Toastmaster.

Right before the
meeting:
- Arrive early in order to finish any last minute details
- Greet all the evaluators, if there is any last minute vacancies,
recruit other members to fill in
- Verify each speaker’s time and notify the Timer/Vote Counter
- Save a chair for yourself towards the back of the room so that
you can see everything that goes on during the meeting.
During the meeting:
- When called on by the Meeting Toastmaster introduce yourself,
explain your role and introduce the Evaluation Team Members.
- Take notes on everything that happens. Example, Did
the meeting start on time? Were
there any unnecessary distractions?
Was there anything of special interest?
- When called upon by the Meeting Toastmaster conduct the
evaluation segment of the meeting.
If the Meeting Toastmaster has not asked for members to fill out
their “Best Speaker” ballots ask that they do before the Speaker’s
Evaluations are given.
- Provide brief comments on the importance of evaluations.
- Introduce each Speaker’s Evaluator. Give the name of the speaker, the title
of the speech and the name of the Speaker’s Evaluator. Remain standing near the lectern after
your introduction until the speaker has acknowledged you and assumed
control of the meeting.
- Ask for a Ahs/Grammarian, Timer/Vote
Counter and Videographer report.
- After all the Speaker’s Evaluations ask for members to vote for
“Best Evaluator”
- Wrap up by giving your general evaluation of the meeting.
- Return control of the meeting back to the Meeting Toastmasters.
