| Organizing an IOC Activity If the thought of organising an IOC activity gives you the heebie jeebies, try following these easy steps: 1) Choose an Activity - This can be any outdoor activity that you are interested in, even if you are not highly skilled in the activity yourself. The Activites Coordinator keeps a library of past IOC events for you to research. 2) Choose a Date - If you are flexible consult the Activities Coordinator. Together you can find a date on the IOC calendar that will be best for members. 3) Choose a Location - (a) Somewhere you have been before or (b) Somewhere suggested in the Activities Record File 4) Obtain a Map - Either borrow one from the Activities Coordinator or buy one. And don't forget to study the map! 5) Get Transportation Information - Visit or telephone JR, JTB or TIC so you can tell members how to get to the meeting place. 6) Check Accommodation - (if applicable) 7) Choose Group Size - How many participants can go on your trip? Some trips need small groups. Other trips - the more the merrier. 8) Check Weather Forecast - Are you planning a sailing trip during the rainy season? Maybe a different month would be better. 9) Equipment List - Is there any special equipment members should bring such as footwear, rainwear, flashlights or lunch. High star events may require special equipment that is necessary to participate. 10) Notify Activites Coordinator - Send an email to the Activities Coordinator with the following information: Date: Description: A short desciption that will sound fun. Include the location of your event and any special sights or points of interest expected on your event. Rating: How many stars? Leader: Your name and email Meet: Meeting time and place Transportation: Accommodation: Bring: any special equipment Limit: any limit on number of participants Deadline: any deadlines for reservations Note: Any special information you think would be usefull 11) Responsibility - As leader of an activity, you are expected to do your best to make sure that information is accurate and that participants are not exposed to any danger. HOWEVER, participants must realize that all kinds of unexpected hitches can occur, and ultimately each personis responsible for his / her own welfare at all times. Having read the above guidelines, if you are still lacking confidence to organise an activity, speak to a coordinator about the possibility of co-leading an event for your first time. Then you'll find out how easy it really is! NOTES Accommodation (if applicable) - Telephone to find out: a) cost per night b) availability and cost of meals c) rules for making reservations d) provision of towels / bedding etc. Maps - If necessary, get help to: a) calculate how many hours will be needed (allowing for unexpected delays). Then decide what time the event should begin, in order to finish well before dark. b) choose a convenient meeting point. c) grade the event according to the IOC Star System. Transportation - Visit or telephone JR or JTB (in Japanese) or TIC (in English) for information. If your activity is not local, they will be able to give you information about transportation possibilities, times and fares. TIC Tel: 0120-444-800 (or 075-371-5649 from within Kyoto). Weather - Check weather forecast - Recorded message weather forecasts in Japanese can be heard by dialing: a) For 1 week forecast: area code + 9999 b) For 3-day forecast: area code + 177 For an English weather forecast, try the website: http://weather.yahoo.com/regional/JAXX.html Participants - Limit the number of participants - depending on: a) accommodation b) transportation c) equipment needed d) the size of group that you�d like to lead Problems? For example: a) can�t speak Japanese / English - Find a co-leader who can! b) can�t read a map - Find a co-leader who can! c) have no phone - Ask another member to act as contact only for your event d) bad weather - Cancellation of an event is the decision of the organiser. If, however, all participants can�t be contacted beforehand, the leader is responsible for ensuring that someone goes tothe designated meeting point to inform everyone..
