an apology should go out to our members who did not get notification of the
meeting change from Mission Track back to Cruisers. We will try to make sure those members
who are not on the e-mail list, can also be notified.
1.
Race Committee Follow Up:
Due
to past questions on volunteer help with our school teams, Kevin asked his
district lawyers what their advise would be. They said, like most districts are
doing with sports teams, we should ask our volunteers to get a RCMP Criminal
Record Check. If something goes wrong and it is not noted in our policy/minutes
somewhere, we are at risk of legal action.
Question
- does this also include parents? May depend? What do member school teams
do?
Notice
of Motion:
It is understood that all volunteers registered with a BCSSMA school will have
completed a RCMP Criminal Records Check (volunteer expense - approx. $20) and
given it to the school sponsor teacher to keep on file.
This
matter is to be discussed and possibly voted on at next meeting. Please

Mission Track Waiver Forms and Membership Packages:
As
in past few years Mission is trying to nail down an insurance carrier; we
believe it will again be K&K Insurance, their Canadian division. Membership
packages are not too far away from mail out, again waiting for waivers, drivers’
cards etc.
Reminder:
If you have not paid your membership dues, now is the time; race season starts
soon!!! 2004 rate: $50 by Jan. 31, 2004 (early bird) and $60 thereafter.

Posters/Drivers Cards/Decals:
Contact
has been made with Bruce Adams re posters; he’s no longer at the school or has
access to equipment. Through local printer, we’re looking at 1500 posters for
$800. Members felt number and amount would be more than we need or wanted to
spend. It was felt that 600 posters are really all that is needed, too many left
over ever year otherwise. Kevin will contact his district’s printing department
to see what they can do. He says a one-time payment of $75 will buy us the
negative and disc that we keep and can update every year and have reprinted. 600
prints should lower costs by approx. 40%. Kevin will also try to get Drivers
Cards printed up as reasonably as possible, hopefully for first race of the
year. Past years cards are still
viable so if you have, use them, if you have extras please share! The little
yearly BCSSMA window decals will not be done this year, as we are running out of
time to do them.
4.
Race Procedures for 2004 Season:

Mission
Tech: same as last year - line up in one lane (closest to river); tech starts at
8:30 AM or as soon as one of our BCSSMA Tech Inspectors can get
there.

Kevin
will be selling 50/50 tickets at Mission this year - 1/2 goes to Winner 1/2 to
Scholarship Fund. Must be present at race trophy presentation to win. If you
forfeit by leaving early, 1/2 your winnings go to scholarship fund and 1/2 goes
back to pot for next race day.

Ashcroft
has raised High School and Junior Dragster fees to $25 day/ $50
weekend.
·
Ashcroft
Camping Fee still $10 weekend. Last years season fees paid by BCSSMA and
individual schools will change. It was felt we did not receive good value, not
enough schools participated to justify expenditure. This year we ask that you
keep your weekend camping receipts and bring to Doug Anderson at AGM to be
reimbursed 50% of amount you spent. This will be reviewed at AGM to see if it
worked better and what to do next year.

Storage
of cars at Mission - Ted Anderson at Mission Secondary must have keys for the
cars, if they have to be moved, he can go to track and move them. This year if
no keys, the track will have the cars removed at your expense. Yale Secondary
where are your keys??? Do something soon or your car will be
removed!!!!!
5.
Scholarship Donation Form:
Doug
Anderson will write up a form that we can present to sponsors who may wish to
donate to our scholarship fund. Will present to membership for review at next
general meeting.
6.
Trophy Presentations at Mission:
March
26 - Ted and Doug Anderson (separated at birth you know! —Ted and Doug’s BIG
Adventure)
7.
Prizes???
We
do not have any left!!! We are asking every school teacher/sponsor who
participates at their respective tracks to approach their local suppliers to see
if they will donate $10, $20 or $? -worth of prizes (oil, tools, parts, etc.) to
our program so we have something to give our students. Please things bring to
the BCSSMA track rep at next meeting or the first race. Also, bring your ideas
on this subject to next meeting for discussion.

Treasurers Report:
Memberships coming in - 27 school so far?
Race season starts soon, please get your dues in!
Langley
Loafers have donated monies for trophies and winners this year. All monies will
now come to us at the beginning of the year. We will record and send trophy
monies ($400 each track)) to our zone reps who can decide if they still want the
track to get their trophies for them or if they want to purchase the trophies
themselves. For year-end winners we are asking the Zone reps to send us the
names of their tracks winner and runner-up at end of season; then our treasurer
will mail the cheques, which our reps can then give to the students
involved.
