SENATE
ADMINISTRATIVE ORDER ON THE CONDUCT OF EXAMINATION FOR UNITAR
STUDENTS

1. GENERAL RULES AND REGULATIONS
- Only candidates who are registered
for the course and not disqualified from the examination or any part
thereof are allowed to enter the examination hall/room.
- No candidate is allowed to present
himself or herself for any examination later than thirty minutes
(30) after the commencement of the examination.
- Candidates are not allowed to bring
into the examination hall/room reference books (unless specified),
booklets, diagrams or pieces of paper or any written material.
- Candidates shall not bring out of
the examination hall/room any answer books (used or unused) or
question papers in cases where answers are written on the question
paper itself.
- Candidates are not allowed to
communicate with one another in any manner while the examination is
in progress. Candidates who wish to communicate with invigilators
shall raise their hands.
- Candidates are not allowed to leave
the examination hall/room within half an hour after the examination
has commenced, or within the last fifteen minutes before the end of
the examination.
- In ordinary circumstances candidates
are not allowed to be given any additional time except if allowed by
the Chief Invigilator.
- Candidates must observe and obey all
instructions given by the Chief Invigilator or invigilators in the
conduct of examination.
- Candidates are advised to go through
the examination time-table carefully. Any additional instructions or
change to the time-table will be notified to students.
- Only candidates with valid
Matriculation Cards will be allowed into the examination hall/room.
Candidates without Matriculation Cards will not be allowed into the
hall/room unless some proof of identification is produced.
- Candidates are required to bring the
registration confirmation slip as a proof of eligibility to sit for
the examination.
- Once candidates have taken their
seats, they must:
- Fill in the attendance slips
and leave them on the right-hand corner of the table.
- Place their Matriculation
Cards and registration confirmation slips on top of the
attendance lip for Invigilator’s inspection.
The attendance
slips shall be collected by the Invigilators. Candidates are
reminded to take back their respective Matriculation Cards and
registration confirmation slip after they have been checked.
- Candidates must fill in every
information required (eg. matric no, section no, course code,
course title, examiner’s name, etc) on the cover page of every
answer book used. Candidates are not permitted to write their
names on the answer books.
- Candidates must follow all
instructions printed on answer book. All rough work must be done
on the answer book only. Candidates are warned not to tear off
pages from the answer books or write on pieces of papers. All
answer books, whether used or unused, must be left behind in the
examination halls. Candidates must never take out any answer
books/question paper where answers are written in it.
- Writing pads, booklets, pieces of
papers, pictures, purses or handbags or any article on which
writing is possible cannot be brought into the examination halls
except for stationery that is permitted by the Chief Invigilator.
While in the examination hall/room, candidates must never receive
books, papers, booklets or pictures of any kind from anyone, but
they may receive these items from Invigilators authorised to do so
by the Chief Invigilator.
- The Chief Invigilator/Invigilator
in-attendance will announce the end of an examination. After the
announcement, all candidates must stop writing.
- Candidates are responsible for
placing all examination scripts on the table or as specified by
the Chief Invigilator, at the end of the examination to be
collected by the Invigilators. Any misplaced script will not be
accepted for marking.
2. ELIGIBILITY FOR ENTRY TO EXAMINATION
- No students shall be eligible to
be admitted to any end-of-semester examination unless:
- he or she is officially
registered in such a course; and
- he or she has fulfilled the
required 80% of attendance and other requirements.
3. BARRING FROM EXAMINATION
- Any student may be barred from
taking the examination if:
- he has failed to meet any of
the above requirements for the eligibility for entry to an
Examination.
- He has committed a breach of
any of the University Regulations.
- Students barred from examination
for a course will have to repeat the course immediately when it is
offered.
4. ABSENCE FROM END-OF-SEMESTER
EXAMINATION
- A student who is absent without
valid reasons acceptable by the University authorities will be
deemed to have failed the course irrespective of the coursework
marks. An "X" grade which is equivalent to an
"F" will be recorded.
5.FAILURE IN A COURSE
- A student who fails in a course,
subject to the specific requirements of the Faculty and the
curriculum of his or her programme of studies, may do either of the
following.
- Repeat the same course if the
course is classified as "CORE" or
"REQUIRED" course; or
- Replace the course with
another course if it is classified as "ELECTIVE" as
determined by the Faculty.
- Notwithstanding any provisions
of these Regulations, a graduating student who obtains the
minimum cumulative grade point average for graduation but
fails in any course may be allowed to resit for that course
subject to the following conditions:
- the maximum number of
courses is equivalent to 18 credit hours subject to the
approval of the Dean of Faculty and beyond which the
approval of the Deputy President (Academic) is required.
- the student has registered
for the course and obtained any of the following grades:
F-failed
X-absent
without permission
CO-carried
over
6. REPEAT OF FAILED COURSES
- The number of times a student is
allowed to repeat a required course is twice. The number of times
a student can repeat an elective or optional course is only once
and henceforth may only be allowed to replace such a course with
another course.
- A student has to repeat the course
immediately when the course is offered. The monitoring is done by
the Faculty. Such repeating may be full attendance at lectures or
by independent study of or in any other way approved by the Dean
of Faculty.
- A student who repeats a course
that he/she failed previously, the better grade will be used to
compute the student's CGPA. If he/she fails in the same course for
the second time or subsequent time, the 'F' grade will be used
once to compute his/her CGPA.
- Notwithstanding any other
provisions of these Regulations, special permission can be given
to final year students to repeat or resit a course which they have
failed three times provided the CGPA is above 2.00
7. APPEAL AGAINST A
GRADE
- An appeal to recheck the marks
(grade) of a course must be made in writing not later than four
(4) weeks after the examination result is released. Any appeal
after that may not be considered.
- An appeal should state clearly the
course code(s) and the course title(s) for which
the appeal is being
made.
7.3 The student
shall pay non-refundable administrative fee of RM100.00 for each
course that he or she appealing against.
7.4 Upon
receipt of the letter of appeal the Dean may then form a panel
of examiners to re-mark the examination answer script.
7.5 The panel
members shall consist of Head/Coordinator of the respective
area, the course instructor, and at least one other course
instructor in similar or related area.
7.6 The grade
awarded by the panel, after being endorsed by the University’s
Senate, shall be conveyed to the student and recorded in the
student’s record/transcript.
7.7 The
decision made by the University’s Senate is considered final
and further appeal may not be entertained.
8. SPECIAL EXAMINATION
8.1 Special
examination may be allowed for students absent from
end-of-semester examination on medical/psychological grounds and
have been duly certified by medical officer authorised by
Universiti Tun Abdul Razak or in case of serious emergencies. If
such illness or emergencies are not verified by relevant
authorities within seven (7) days of the scheduled examination,
the Academic Affairs Department will record an examination grade
of "X" is equivalent to an "F" grade. Where
a student whose absence from final examination is excused, the
Faculty Board of Examination may authorise special examination
in the third week of the following semester unless studies leave
is granted.
9. SAFEKEEPING OF EXAMINATION ANSWER
SCRIPTS
9.1 Answer
scripts for all examinations in courses required for the award
of Certificates, Diploma, Bachelor or Postgraduate Degree shall
be deposited at the Study Centre for safekeeping.
9.2 The Study
Centre shall keep the answer scripts for at least three months
after the announcement of the examination results.
9.3 All answer
scripts shall be destroyed after the period of safekeeping as
stipulated in 9.2
9.4 If a
student appeals against a result of an examination, the answer
script of the said examination shall not be destroyed except
after the Senate has endorsed the result of the appeal.
