Officers Meeting

Stacie Chun was unable to attend.
The checking account was overdrawn because of a misunderstanding about submission of bills for CDBG. Submission is monthly, including 1/12 of the annual insurance. As of this date, bills have only been submitted for the last quarter. Stacie still has bills from July—September. Bob had the current water bills which will be submitted to Anne immediately for direct payment to Hayward Water ($4000).
Delay in signing the CDBG contract is due to changes being made in the contract language. HCG applied for the Social Services grant and CDBG. It is assumed at this time that the grant applications were mostly identical with changes only as specifically pertained to each grant criteria. Original grant applications are being requested for permanent files.
Pending Stacie’s resignation, the office requires return of all paper (or electronically); including requests to the City of Hayward and most current papers and bills.
1) Reimbursement packets and originals of CDBG grant requests.
2) CDBG 2005-06 original/copy submitted. The office only has Social Service proposal on file.
3) Payroll: How-to, Workers Compensation, SDI filing, ID numbers.
4) State and Federal tax returns.
5) Filemaker Pro database.
Officers discussed pursuing other grants including City of Hayward CDBG 2006-07, Waste Management of Castro Valley, Alameda County CDBG (Eden Township). Vote will be taken for grant writer’s fee to be included (as a percentage of the grant request).
Jump-starting Grow The Garden: Officers recognize it is crucial to redefine the Grow The Garden project and employee requirements in order to continue as a sustainable seedling project through a working greenhouse. Also discussed was the tie-in to the market gardens and vegetable/seedling sales.
As part of membership renewal, Bob suggested that $10 be taken from each garden member to be used for rototiller maintenance. He will also once again check with AAA auto wreckers on Depot Rd about taking the truck for salvage.
