The technical/Organising team is always present and only metamorphosiss into Organising A (Technical) which takes care of all the ground work necessary to ensure a smooth Explo Nite. Whiles a new committee, Utilities becomes organising B. They take care of all culinary aspects of the groups preparations towards, during and after the night.

Some Executives over the years allow some of the heads to play their roles after Explo Nite this helps to facilitate and manage issues efficiently as the executives dont always have to brainstorm or have to assign a new person to that job when the need arises. For e.g. the choreography committee head remains the head till the next Explo Nite except he decides to give up the position or by virtue of he/she being in final year. The retention of heads like Choreography & Shadda has become the norm and almost every batch of executives make do with it.

Committees are equipped with the necessary human resource to ensure they dont lack the expertise they need for their work. Many people are also put in certain committees to be raised and trained so they can carry on when the rest leave. This happens to most first years/firs timers.

Thus committees are made of three parts; the head, some past members (continuing students), and fresh members/first timers. The fresh members some of whom were moved from other committees are expected to learn as much as they can about the workings of that committee so they can take over the mantle when the continuing students hand over the mantle.

Explo believes in equipping church leaders, maximising potential and bringing up responsible and morally sound Christians who are ready to impact their generation. It is in this light that minimal consultation is sought from outside concerning the running of the committees as the members and their heads are allowed to function freely and openly correcting their mistakes and taking note of success chalked.

Its always a pleasure to see committees jubilant when goals they set are achieved. The sense of accomplishment and belonging it arouses in members cannot be rivalled anywhere. No wonder many music directorate heads have become music directors or play active roles in their churches during and after school. Many others have through the training they received pressed on and are involved in church work. Many are also involved in intellectual activities and hold high positions in their chosen professions.
ut and also to allow for the Explo Experience, almost everybody is placed in a committee. This allows everyone to be involved in the preparation for the Nite of Joy. However it is not all who function in their respective committees largely due to academic pressure.

All committee heads are answerable to the Planning Committee Head who oversees all the preparations and presides over all planning committee meetings. He/she in turn is answerable to the executive who in turn report to the General Executive Council (GEC) of the Inter-Hall Christian Fellowship, the mother fellowship of which Explo is a wing. This structure helps bring in lots of checks and balances but has sometimes proved to be stumbling blocks in the way of decisions thus stagnating work rather than facilitating but the seemingly bureaucratic chain of command is to ensure effectiveness, efficiency and control. Because of the bureaucratic measures and the many hurdles Explo & Literary Wing (Communication Arts Dept. of IHCF) have come to be known as a bunch of rebels who always want to have their own way.

The first few meetings to be held by all committees centre mainly on drawing a budget which involves doing the necessary market surveys and evaluation of the previous years activities and a review of the previous budgets. This has also become almost like standard procedure which is religiously followed. Budgets are presented to the financial committee head for further consideration and discussion by the Planning committee. Every budget is reviewed carefully in order to assess and locate specific areas that need urgent attention. Many budgets, sometimes, disappointingly, come back from the planning committee either seriously slashed or upgraded.

After this review process, the financial committee finally has an idea of what amount to solicit for and the total cost of the programme.

All figures are then put together and a comprehensive budget is drawn and presented to the General Executive Council (GEC) of the IHCF for approval. This brings further cuts or upgrade but it all helps to bring members up to be financially prudent.

The sponsorship team and financial committee meet to device means of raising funds either through Tally Cards, Envelopes, Door-to-door or appeal for funds from sponsors/donors/churches. Members are always levied towards every Explo Nite and this money is normally the seed money for the printing of envelopes, tally cards and meeting other Administrative and operational expenses till money comes in from outside. Over the years money contributed by members has changed from being the bulk of the money needed to a minute fraction thus the forming of the sponsorship team.
