Playgroup Checklist

OR  Playgroup preparations for the MOMS Club monthly meeting!

  Before the Meeting:

  •  Contact the Club Secretary by the 15th of the month prior to your assigned month with at least two events for the MOMS Club group activity calendar for your assigned month.  Feel free to be as creative as you would like to be for this. You can also reference some of our previous calendars for ideas.  Please have date, time, address, and directions ready at time of contact.

  • Plan a  short "Get-to-know-you" activity for the MOMS Club meeting. Please be prepared to have someone from your group initiate the activity at the beginning of the meeting.

  • Decide which of your playgroup members will bring the snack items to the meeting.  There is no need to supply cups or napkins since we have a stock of these in the closet at the meeting location.

 Meeting Set-up:

  •  Please arrive to our meeting location no later than 9:30 a.m.  It will take approximately 15 minutes to set up for the monthly meeting.

  • Retrieve small table from behind partition at the front of the sanctuary. Put this at the front of the room for the sign-in sheets.  (An Executive Board member will set out sign-in sheets and pens.)

  • Set up refreshment table in the back of the room where the church has their informational bulletins.  Carefully remove these bulletins and the flowers next to them and set up the refreshments.

  • Stack any hymnals and Bibles on the bookshelf in the front of the room.

  • Stack all chairs along the walls.  (Please note the arrangement of the chairs so that they can be properly replaced at the end of the meeting.)

  • Turn on the lights and ceiling fans (if needed).  (Switches are on the wall at the front of the sanctuary.)

As Members and Visitors Arrive to the Meeting:

  • At 9:40 a.m., stand at the door and greet the moms and kids enthusiastically.

  • Hand out the agendas.

  • Welcome visitors and direct them to the Treasurer, Membership Coordinator, or other Executive Board member.

  • Encourage members to wear their name tags. Show visitors where they may make one to wear.

  • Encourage mothers of older children to take advantage of the free childcare in the children's room.  (Your group may choose to divide and have one half of your group's moms watch your playgroup kids and the other half perform these duties.)

  • At 10:00 a.m., the president will begin the meeting and will ask you to do your "get-to-know-you activity." This is an important activity as it allows the new moms to become acquainted with the membership and vice-versa.

Cleanup After the Meeting:

  • Give the sign-up sheets, name tags, and extra agendas to the executive board member in charge.

  • Put sign-in table away behind the partition.

  • Dispose of or take home all leftover refreshments.  Put leftover cups and napkins in the MOMS Club box in the storage closet.

  • Set up the church information table as it was when you arrived.

  • Reassemble chairs as they were when you first arrived.

  • Close windows if anyone opened them.

  • Turn off all lights and fans.

  • Be sure that the closet door and all doors leading out into the hallway are locked.
