What
is the EGEA Glasgow committee of
promotions?
The committee will comprise
6 or more members.
The committee members of the EGEA Glasgow committee of promotions:
1) The Commissioner
2) The Vice-commissioner
3) The Treasurer of the committee
4) Webmaster & Layout coordinator
5) Drinks and parties coordinator
6) Promoter of EGEA
These committee members will
assist each other in fulfilling their tasks, and will adapt their activities so
that they are in tune with one another. The committee will convene every two
weeks if needed, but on average every 3 to 4 weeks should suffice. Each meeting
will take approximately an hour. Each committee member is expected to devote
one to two hours of his time per week to his tasks. Should the tasks of the
committee demand more committee members, then additional members will be
sought.
Tasks of the committee
and its members:
The committee is responsible for the
promotion of EGEA Glasgow and its activities among the geography students at
the University of Glasgow.
Secondly it is responsible for promotion of EGEA among students of other
geography and geography related courses in Europe, to inform others about EGEA
and to help set up other EGEA entities.
How does the committee do
this?

homepage as a point of reference
- A uniform promotion of all activities
- Organizing one party a year if possiblee
- Presentations are to be held on EGEA Gllasgow and its activities
- Actively encouraging new EGEA entities<
What tasks will the
committee members have?
Firstly it is important to point out
that the below division of tasks is not as rigid as it seems. Committee members
will take upon themselves the amount and kind of tasks that suit them best.
Therefore an altogether different committee, both in number as in task
division, may be assembled. The first three positions allow lesser flexibility.
1) The Commissioner
The Commissioner strives to coordinate and adjust the activities of the
committee members, so that the end result becomes more then the sum of its
parts. The commissioner is responsible for the committee’s actions and reports
to the board. The commissioner is there to motivate and assist the committee
members.
2) The Vice-commissioner
The Vice-commissioner takes over the commissioner’s tasks and responsibilities
in his/her absence and is responsible for the minutes of each meeting. This
function can be combined with other tasks of the committee.
3) The Treasurer of the
committee
The Treasurer is responsible for handling all financial aspects of the
committee, however, in the end, the commissioner has the overall
responsibility. The treasurer will monitor the flows of money that are a result
of the activities the committee organizes. Also he will actively pursue to find
funds to finance the committee’s activities. The treasurer will also convene
regularly with the treasurer of the board and the treasurers of the other
committees, to discuss current developments.
4) Webmaster & Layout
coordinator
This person is responsible for the upkeep of the website and the general layout
of the website and all promotional material. This means that in cooperation
with other committee members and other members of EGEA Glasgow, he or she will
actively develop the website as an anchor point for all promotional activities.
Secondly, he or she will see to it that all promotional material will have the
same layout, and use the website as a base for it. Important is to draw a lot
of visitors to the site, thus increasing the awareness of EGEA Glasgow’s
existence among students of geography.
5) Drinks and parties
coordinator
This person will be responsible for organizing a monthly promotional drink and
one party a year. The promotional drink is important to promote activities of
the Exchanges committee as well as EGEA in general. The party will be organized
in cooperation with JOGSOK, a good occasion being the visit of foreign students
during an exchange. The aim is to combine as many activities at the promotional
drink as possible.
6) Promoter of EGEA
This person will be responsible for attracting students of geography, young
geographers and students with a strong geographical interest, to become active
members of EGEA Glasgow. To do so he or she will email these persons, give
presentations to them, design promotional posters, invite them to the monthly
promotional drink, and all other ways of informing potential members and
participants. Secondly this person will be responsible for the promotion of
EGEA among students of other geography and geography related courses in Europe,
and to help interested students set up an EGEA entity by providing them with
information.
Additional goals and
information of the Promocie
At the monthly promotional drink, it
is important to know for sure that a certain amount of people will show up.
Therefore it is good to center the drink around a theme. For example the reunion
of people who have participated in an exchange earlier that year.
Standard invitations for the
promotional drink should go to:
- all active EGEA members
- all former EGEA members
- all participants of activities (active and former)
- all Erasmus-Socrates students of geograaphy
- all JOGSOK members
- all professors and university personnell who have helped EGEA Glasgow
- all other EGEA entities in the UK
To assure that the party is
a success, it must be organized in the first place for the visiting exchange
students, so that a certain amount of people will sure come.
Important in making sure
that all possible members, participants and mentors are reached, is the upkeep
of up to date mailing lists.
An important task for the
Promocie is to make sure that EGEA Glasgow continues to exist, and that all
kinds of students can participate. This is very important, as the recycling of
the same people over and over again may result in the discontinuation of EGEA Glasgow.
New entities: All over
Europe there are about 600 different of geography and geography related
courses, of only which about 40 have active EGEA entities, even though over 200
EGEA entities have existed at one point in time. (EGEA Vienna, EGEA Cambridge,
EGEA Cork) Contacting these students and informing them about EGEA and its
possibilities, is important. One idea to explore is to write a manual on
"how do I organize a EGEA entity".
The promotional drinks and
parties are not designed to make a profit. However, the financial plan of each
activity may provide the possibility to build up a reserve in case of a
calamity and to create funds for other promotional activities, such as the
printing of posters, folders, website costs and other promotional costs. As the
EGEA Glasgow committee of promotions has no own budget, it is evident that all
expenditures and incomes must be balanced.
Even though EGEA is a
geographical association, throughout the organization students or related
disciplines are involved. This gives EGEA a diverse and flexible character. As long
as more then 50% of members and participants are geography students or young
geographers, the geographical nature of the association will be preserved, as
well as the internal diversity.
